Position Summary & Responsibilities

Senior Administrative Specialist (K0240240)

The incumbent will assign, delegate, and monitor the work of the administrative assistants and receptionist and ensure that the front desk operations are operating efficiently. The incumbent will assist with database creation, data entry, and management to support eligibility operations. The incumbent will retrieve data, create, and analyze basic reports. The incumbent will serve as the main point of contact for escalated front desk customer inquiries. Oversees the stock of office supplies, equipment, and forms. Orders and purchases supplies and equipment. Handles inventory for the office. Evaluates and recommends improvement to administrative procedures.

Job Responsibilities may include but are not limited to the following:   

The incumbent will answer the main phone line and provide basic assistance, take messages, or route calls to the appropriate subject matter expert. The incumbent will check in visitors and make DHCF staff aware of their arrival. The incumbent will receive incoming faxes and mail, to be logged and contact appropriate staff when items are ready to pick up. The incumbent may create or use basic Word, Excel or Power Point, Publisher templates. Proofreads documents for accuracy, grammar and completeness as directed. Schedule meetings and conference room for staff.

Qualifications

Education

  • High School, GED

Licensing & Certification:

  • Valid Driver's License - Incumbent is required to have and maintain a valid driver's license when operating a state vehicle, a private vehicle, or a rental vehicle for the benefit of the State.

Minimum Qualifications:  

  • Three years of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.

Preferred Qualifications:  

  • Bachelor’s Degree
  • Word, Excel, PowerPoint, Access
  • Proofreading, editing, attention to detail
  • Experience in public sector/government
  • Ability to proofread and edit
  • Experience performing administrative support work for an executive or senior leadership position
  • Ability to understand and follow instructions
  • Ability to quickly adapt and prioritize tasks/information
  • Experience providing phone and face to face customer support
  • Experience creating and managing databases and/or developing internal processes
  • Supervisory experience
