Administrative Specialist

Primary Accountabilities:
 

Provide post-closing and administrative duties to the department in a timely manner:

 

  • organize, print and prepare participation/syndication loan files for all incoming loan doc requests; 
  • issue loan numbers, order flood determinations and provide letter to lending unit if in flood zone;
  • manage receipt of original final loan documents for loans closed both in nCino and outside of nCino.  
  • performs review to ensure core documents are appropriately signed, dated and then submit to file room; 
  • tracks trailing items and resolves post-closing pending items with lending units, monitors and submits monthly reporting to Treasury for outstanding follow-up items concerning FRB pledged loans, and 
  • completes initial setup for BPP and specific equipment, vehicle and property insurance certificates for all new loan closings on the loan system.

Commercial Documentation: 
 

  • Prepare and document commercial and standby letters of credit for issuance, amendments, and/or renewals in a timely and accurate manner for commercial lending units and branches.  
  • Provide ongoing monitoring of outstanding letter of credits, generate monthly reports to BSA department, maintain and accurately log in letter of credit requests into the database to provide quarterly reporting to Controllers, mailing out letter of credit loan documents to beneficiaries, fee income account reconciliation, ensure booking letters of credit to the Bank’s loan system and image completed packages.
  • Responsible for running OFAC verifications, preparing checklists, and form generation for funding with tight deadlines.

 

Process Management: 
 

  • Review and process commercial letter of credits packages (acceptance, negotiation, and settlements) to confirm bill of lading instructions, invoices, packing list, letter of credit conditions and convert import/export shipments from foreign currency. 
  • Review standby letter of credit packages for auto-renewal clauses and proper letter of credit documentary clauses, international law practices and publications and govern state.

 

Minimum Qualifications:
 

  • High school diploma required 
  • 1+ years of experience in commercial real estate documentation and reading legal documents experience required
