Full-time, Tuesdays - Saturdays (Closed Sundays & Mondays)

About the Role

The Intake Coordinator serves as the first point of contact for individuals and families seeking mental health services. This role is essential in providing compassionate support to distressed callers, guiding them through the intake process, and ensuring the clinic runs smoothly. In addition to intake responsibilities, this position involves assisting the Clinic Director with administrative and operational tasks, making it a valuable stepping stone for those interested in both clinical work and practice management.

Key Responsibilities

  • Patient Intake & Support:
    • Manage incoming referrals and oversee the intake process
    • Conduct phone intakes with prospective patients to assess needs and provide information about services
    • Offer empathetic listening and validate callers’ concerns, fostering hope and support
    • Maintain HIPAA-compliant documentation and patient confidentiality
  • Administrative & Clinic Support:
    • Schedule appointments, including intakes, therapy sessions, school meetings, and consultations
    • Assist with billing and payments; prior experience with insurance is a plus
    • Organize and manage intake paperwork, including scanning and uploading documents
    • Maintain and update clinic website and social media presence
    • Assist with event coordination, including workshops, therapy camps (e.g., Winter Adventure and Adventure Camp), and community outreach efforts
  • Practice Development & Team Collaboration:
    • Work closely with clinicians, interns, and the Clinic Director to improve clinic operations
    • Identify creative ways to enhance the intake process and improve patient experience
    • Mentor and support interns as needed

Qualifications

  • Education: Bachelor's degree required; psychology, social sciences, or related fields preferred
  • Experience: Prior experience in administrative support, customer service, mental health, or healthcare settings is a plus. Previous experience as an undergraduate summer intern with our clinic is a strong advantage.
  • Skills:

    • Comfort with technology, including scheduling software, electronic health records, and social media

Additional Information

  • This is an administrative position in a clinical setting. It does not provide clinical hours or supervision for licensure.
  • Pay is commensurate with education and experience.
  • Full-time schedule: Tuesday through Saturday (clinic closed Sundays and Mondays).
