Accounts Receivable Representative
SUMMARY:
This position manages customer invoicing, payment collection, and account reconciliation to ensure accurate and timely financial processes. It requires strong attention to detail, excellent communication skills, and the ability to maintain organized, up-to-date records.
ESSENTIAL RESPONSIBILITIES:
- Prepare and send invoices, reconcile accounts, process payments, and follow up on overdue balances for 250+ customers.
- Communicate with customers to resolve payment discrepancies and ensure timely collections.
- Maintain accurate accounts receivable records in QuickBooks and Bill.com
- Generate routine AR financial reports on status and performance
- Analyze AR data to identify issues and recommend improvements
- Respond promptly and professionally to customer inquiries
- Use accounting software and tools to manage accounts efficiently
- Perform other duties as assigned by the supervisor
MINIMUM QUALIFICATIONS:
- 3 years of experience in accounts receivable and general accounting
- Proficiency in QuickBooks is required; experience with Bill.com and other accounting software is helpful
- Experience and knowledge of long-term care billing in healthcare is preferred
- Associate’s or bachelor’s degree in Accounting, Finance, or a related field is preferred
- Basic understanding of accounting principles (e.g., debits, credits, and reconciliation)
- Strong attention to detail and accuracy in data entry and financial records management
- Excellent organizational skills with the ability to multitask and prioritize work in a fast-paced environment
- Ability to handle sensitive financial information with discretion
- Strong written and verbal communication skills
- Effective problem-solving ability and adaptability to changing circumstances
- Strong collaboration skills and ability to work effectively in a team environment
- Proficiency in Google Workspace, especially Google Sheets (e.g., using formulas, pivot tables, and VLOOKUP) and Google Docs
- Openness to learning and adapting to new systems or processes
Physical Requirements:
Ability to perform essential office tasks, including prolonged sitting, frequent use of a computer, monitor screen, and other office equipment, and occasional lifting of up to 20 pounds.
