The College of Engineering School of Computing has an opening for a Business Operations Coordinator position. This position manages day-to-day activities to ensure the department is running efficiently and meets the expectations and needs of customers and staff. This position will work closely with the Director of School of Computing.

 

Job Summary/Basic Function:

The primary role of this position is to coordinate, execute, and manage a variety of critical administrative support functions for the School of Computing. This position manages day-to-day activities to ensure the department is running efficiently and meets the expectations and needs of customers and staff. This position will independently administer processes, projects, and resources and act as a liaison with other departments, colleges, and administrative offices across campus.

 

Level Scope:

Entry-level professional with limited or no prior experience to contribute on a project or work team. Incumbent learns to use professional concepts to resolve problems of limited scope and complexity under close supervision while achieving day-to-day objectives. Works on developmental assignments that are initially routine in nature, requiring limited judgment and decision making. This level is typically focused on self development. Requires theoretical knowledge through specific education and training.

 

Essential Functions:

60% of Time the Position must:

 

• Provides office and staff support for the School of Computing

 

• Serves as a primary point of contact and liaison between the offices, students, and external constituents on a day-to-day basis

 

• Processes necessary HR paperwork for student, part-time, and full-time employees related to the School of Computing

 

• Support graduate assistantship hiring and work with the PhD Coordinator and Research Administrator to ensure expenditures are appropriately allocated

 

• Arrange and book travel accommodations for staff and students as well as submit post travel reimbursements in compliance with University policies and procedures.

 

• Process purchase requests for supplies and equipment

 

• Process payments and reconcile monthly purchasing card transactions in accordance with University policy and COEN policies and procedures.

 

• Work with COEN Research Administrators to support departmental Principal Investigators (PIs) with hiring and related purchasing in compliance with federal and grant related regulations

 

• Review and monitor expenditures to ensure all expenditures are authorized, accurately recorded and charged to the correct accounting string.

 

• Assist with reviewing local account charges and balances

 

35% of the Time the Position must:

 

• Assist the Director for the School of Computing with various projects and initiatives

 

• Respond to inquiries and resolve issues by interpreting and applying departmental and University wide policies and procedures

 

• Organizes and schedules meeting and special events including coordinating dates and times, venues, attendees, and agenda

 

• Provide administrative support as needed for departmental committees and functions including meeting preparation, minutes, and action item follow-up.

 

• Serve as the School of Computing representative on committees as assigned by the Director

 

• Assist with department course schedule each semester

 

5% of Time the Position must:

 

• Other duties as assigned.

• Ability to interact effectively as a member of a team and work collaboratively with faculty and staff

 

• Ability to maintain confidentiality and discretion

 

• Proficient in Microsoft Office and Google Suite.

 

Minimum Qualifications:

 

• Bachelor's degree or equivalent experience

• Experience working in an educational setting
