Project Manager – Lighting Distribution
Location: New York, NY (Work from Home or Hybrid)
Position Overview
As Lightsmith continues to expand, we are seeking a Project Manager with a strong background in lighting distribution, construction management, or electrical engineering to join our team. This role requires a detail-oriented, proactive, and team-driven professional who can efficiently manage multiple lighting projects from inception to completion. The ideal candidate is highly organized, thrives in a fast-paced environment, and excels at vendor coordination, logistics, and customer service.
Key Responsibilities
- Project Oversight: Manage all aspects of lighting projects, ensuring smooth execution from start to finish.
- Drawing & Specification Review: Analyze lighting drawings, specifications, and proposals for commercial and residential projects of all sizes.
- Scheduling & Coordination: Maintain and update project schedules, timelines, and lead time schedules to ensure on-time delivery.
- Vendor & Client Management: Build strong relationships with vendors, clients, and suppliers to facilitate seamless communication and issue resolution.
- Procurement & Logistics:
- Create purchase orders and track shipments from factories to job sites.
- Coordinate deliveries with trucking companies for various locations.
- Maintain an inventory list of materials stored and shipped for each project.
- Submittals & Documentation: Prepare comprehensive submittal packages and project tracking documents upon receipt of purchase orders.
- Cross-Team Collaboration: Work closely with sales, procurement, and management to ensure project success and top-tier customer service.
- Accounting Coordination: Collaborate with the accounting team to update all billings in real-time as the project progresses and ensure materials are released appropriately.
- Proactive Customer Engagement:
- Respond quickly to all customer inquiries and internal team meetings to prevent delays in communication.
- Regularly reach out to customers to confirm deliveries are well-coordinated and arrive on time.
- Material Tracking & Reporting: Continuously update all tracking sheets with pertinent information to ensure real-time visibility of project materials.
- Issue Resolution: Proactively identify and resolve project-related challenges, ensuring seamless execution.
- Billing & Documentation Control: Maintain accurate project documentation, assist with monthly project billings, and oversee document control.
Qualifications & Skills
- Experience: Minimum 3+ years in project management preferred (relevant industries include lighting/electrical industry/construction management).
- Technical Skills: Proficiency in Microsoft Excel, Word, and Adobe; experience with Oasis software is a plus.
- Communication: Excellent written and verbal communication skills, essential for building and maintaining strong relationships.
- Organization & Time Management: Strong ability to multitask, manage multiple projects, and meet deadlines.
- Interpersonal Skills: Strong relationship-building and collaboration skills.
- Construction Knowledge: Ability to read and interpret construction plans and project documents.
