POSITION SUMMARY: The District Athletic and Activities Director provides administrative leadership in the planning, implementation, coordination, supervision, and evaluation of both interscholastic athletic programs and extracurricular activities for middle and high schools. The role promotes activities that foster student development, skill-building, sportsmanship, and team collaboration, while supporting a wide range of student interests beyond athletics. This position prohibits coaching in in-district athletic programs.
POSITION RESPONSIBILITIES:
Rules & Regulations:
- Adhere to all CHSAA rules and regulations, including preparing eligibility lists, schedules, fees/dues, team records, and other related documents.
- Follow school rules and regulations as well as school board policies.
- Ensure all athletes and participants are supervised at all times.
- Implement district attendance, behavior, and tardy guidelines and academic eligibility requirements.
- Consult with school administration to resolve student-athlete and activity-related issues.
Athletic & Activity Administration:
- Prepare and maintain a budget for athletic and activity programs and assist the Fields and Grounds Supervisor in developing a field’s budget.
- Prepare required reports for the school administration, Superintendent, and School Board.
- Collaborate with school administration, community organizations, and athletic/activity directors to improve, promote, and represent athletic and activity programs on district committees.
- Ensure completion of physical exams, permission forms, insurance verifications, and verify student eligibility according to CHSAA, activity-specific guidelines, and school board policies.
- Plan and supervise recognition programs for athletes and activity participants.
- Coordinate with school administration to plan and implement the annual athletic and activity calendar.
- Serve on district and community committees relating to athletics, activities, and recreation.
- Supervise on-site athletic and activity events throughout the school year.
- Coordinate facility and field use for middle school, high school, and community needs.
- Conduct pre-season meetings with field users to best meet district and community needs.
- Assist the Fields and Grounds Supervisor in inspecting fields and facilities and recommending repairs or maintenance.
- Help with field layout and lining at the beginning of each season and for special events.
- Provide guidance and support to coaches and activity leaders to enhance their overall effectiveness and interpersonal skills with students and parents.
- Oversee and coordinate fundraising efforts for both athletic and extracurricular activities, ensuring alignment with district goals, managing donor relations, and supporting coaches and teams in their fundraising initiatives.
- Develop and implement strategies to expand middle school and community programs, fostering student talent and creating clear pathways for successful transitions into high school athletics and activities, while ensuring high school students are prepared for collegiate opportunities.
- Attend League and Regional Meetings as required.
Supplies, Equipment & Uniforms:
- Maintain an updated inventory of athletic and activity equipment, uniforms, and supplies.
- Ensure that supplies, equipment, and uniforms are kept in satisfactory condition and order new or replacement items as necessary.
- Inspect athletic and activity areas for cleanliness and proper storage of supplies, equipment, and uniforms.
- Develop and oversee a plan for the regular rotation, replacement, and proper disposal of outdated equipment, uniforms, and athletic gear to ensure optimal inventory management.
- Provide each coach and activity leader with equipment, medical supplies, and uniforms before the season and ensure that items are returned using a checklist.
Practices & Events:
- Coordinate staff for practices, home games, and events, including assigning representatives and arranging necessary personnel such as officials and support staff.
- Ensure a school representative is present at all home events and assign coaches for away games and activity trips.
- Arrange for necessary support staff (e.g., ticket sellers, custodians, timekeepers) for home games.
- Ensure medical supplies are available at all home events.
- Collaborate with support staff (e.g. Athletic Trainer when available) to provide health and safety services for athletes and participants, ensuring adherence to all concussion management protocols.
- Manage event cancellations and rescheduling as needed.
Transportation:
- Coordinate transportation for athletics and extracurricular activities.
- Verify that all participants have proper permission forms for alternative transportation when necessary.
- Communicate the transportation policy to coaches and activity leaders.
Communication:
- Meet with the Superintendent of Schools to discuss challenges and needs.
- Conduct mandatory pre-season meetings for athletes, parents, and coaches.
- Represent the district at CHSAA meetings, activity conferences, and related events.
- Maintain communication with coaches, parents, and activity organizations to ensure the smooth running of athletic and extracurricular programs.
- Develop and revise the athletic and activities handbook and agreements.
- Promote good sportsmanship and model respectful interactions at all events.
- Coordinate publicity and media releases for athletic and extracurricular events.
- Organize videotaping and documentation for key events and performances.
Supervision:
- Annually supervise, evaluate, and improve coaches, activity leaders, and programs.
- Coordinate with school principals to interview and hire new coaches and activity staff.
- Initiate background checks for new hires.
- Approve the issuance of all athletic and activity contracts.
- Provide orientation and training for coaches, staff, and activity leaders.
- Review and revise criteria for evaluating, renewing, and hiring coaches and activity leaders.
REQUIRED KNOWLEDGE, SKILLS & ABILITY:
- Requires knowledge of Title IX, CHSAA rules, Colorado Department of Education guidelines, and School District Policy.
- Understanding of best practices in organizing and managing extracurricular activities, including both athletics and non-athletic programs.
- Strong leadership and problem-solving skills to support student and staff needs.
- Service-oriented people skills.
- Verbal and written communication skills.
- Organizational and technology skills to manage a multi-tasking role, including office software and student database systems.
- Attention to detail, confidentiality, and follow-through on responsibilities.
- Significant confidential responsibilities regarding student and staff issues.
- Fiscal responsibility, particularly related to school budgets.
MINIMUM QUALIFICATIONS:
- Bachelor’s Degree from an accredited institution.
- 5 or more years of experience as a varsity head coach or in a comparable role, with a preference for candidates who have experience as an athletic director or in a similar capacity.
- CO Certification/License in Education. Administrative license preferred.
- First aid and CPR certification or eligibility for certification.
TERMS OF EMPLOYMENT:
- 11-month position with hours adjusted to meet job requirements.
- May require evening and weekend duties.
- Clear criminal background check.
- Verification of health to perform job duties.
- Valid CO certification.
- Valid driver's license.
- Administrative contract with salary and benefits per district policy.
REPORTS TO:
- The High School Principal, who will work in coordination with the Middle School Principal to ensure evaluation is conducted according to this job description and School Board Policy.
SUPERVISES:
- Athletic and activity coaches and staff, including athletic secretary, in coordination with High School and Middle School Principals.
WORKING ENVIRONMENT:
- Physical ability to perform essential job functions, including standing, walking, sitting, reaching, climbing, and occasionally lifting equipment.
- Supervision of students in various settings, including outdoor environments.
- Occasional driving required.
- Modified hours as needed to accommodate practices, events, and other responsibilities, including evening and weekend work.
