Position Overview:
The Marketing/Proposal Coordinator at Design Tree Engineering and Land Surveying plays a key role in driving new business and supporting our growth objectives through high-quality proposal submissions and targeted marketing efforts. This role involves coordinating the proposal process from opportunity tracking through final submission, collaborating across departments to deliver compliant, compelling proposals and presentations. The ideal candidate will thrive in a fast-paced environment, managing multiple deadlines with a proactive, team-oriented approach. Design Tree has established CRM processes and proposal tools that the Marketing/Proposal Coordinator can work within to collaborate and generate content. The position will have flexibility to advance the use of these processes and tools, while working within established programs.

Responsibilities:

  1. Proposal Development & Coordination:
    • Serve as the lead on proposals and qualifications (RFPs, RFQs, etc.), ensuring compliance with client requirements.
    • Coordinate proposal team activities, including kickoff meetings, status updates, and reviews.
    • Develop proposal schedules, management plans, and production timelines to streamline proposal creation and meet deadlines consistently.
  2. Content Creation & Management:
    • Write and edit proposal sections (cover letters, project descriptions, resumes) to incorporate win strategies and align with RFP requirements.
    • Partner with technical experts to craft tailored content that reflects Design Tree’s expertise and unique project approaches.
  3. Market Research & Strategy Support:
    • Conduct targeted market research on clients, competitors, and projects to inform proposal strategies.
    • Support capture planning efforts, aligning proposals with Design Tree’s strategic objectives and brand positioning.
  4. Brand & Template Management:
    • Maintain consistency in company branding across proposal documents, utilizing established templates, formatting guidelines, and graphic elements.
    • Collaborate with graphic design resources to develop visually compelling proposal layouts and presentations.
  5. Knowledge & Data Management:
    • Organize and maintain a library of reusable content, past performance citations, resumes, and project descriptions for efficient proposal development.
    • Ensure all proposal-related data is securely stored and easily accessible for current and future needs.
  6. Pipeline Support & Reporting:
    • Support the tracking and reporting of opportunities in the sales pipeline, keeping stakeholders informed of key proposal milestones and outcomes.
  7. Additional Marketing Support:
    • Assist with other marketing initiatives, including qualifications packages, award submissions, trade shows, firm events, and digital marketing efforts (website, social media, newsletters, etc.) as needed to support corporate goals.
    • Represent Design Tree at marketing events, trade shows, and peer-to-peer marketing initiatives.

 

Qualifications:

  • Bachelor’s degree in Marketing, Communications, English, Business, or a related field.
  • 3-5 years of experience in proposal development, preferably within the AEC industry, with demonstrated knowledge of RFP responses and compliance; familiarity with AEC processes and terminology a plus.
  • Strong writing, editing, and organizational skills, with a meticulous eye for detail and commitment to producing high-quality work.
  • Proficiency in Microsoft Office Suite and Adobe InDesign; familiarity with CRM systems a plus.
  • Ability to work effectively under pressure and manage multiple deadlines with a positive, solution-oriented approach.
  • Team player with excellent interpersonal and communication skills.
