A/P and A/R Data Entry Specialist

Overview:

As an A/P and A/R Data Entry Specialist, you will play a key role in ensuring accurate financial reporting, analysis, and compliance. You will work cross-functionally with the finance team to manage and optimize accounting processes. This role is perfect for a proactive individual with a passion for numbers, attention to detail, and an understanding of accounting principles.


Key Responsibilities:

  • Accounts Payable (A/P):
    • Review and verify invoices for accuracy and completeness.
    • Enter invoice details into the accounting system.
    • Match invoices with corresponding purchase orders and receipts.
    • Prepare and process vendor payments.
    • Reconcile vendor statements and resolve discrepancies.
    • Maintain accurate vendor records and ensure compliance with company policies and procedures.
  • Accounts Receivable (A/R):
    • Generate and distribute customer invoices in a timely manner.
    • Record payments received and allocate them to the appropriate accounts.
    • Follow up on overdue accounts and maintain proactive communication with customers.
    • Reconcile customer accounts and investigate any discrepancies.
    • Prepare and distribute regular A/R aging reports for management.
  • General Responsibilities:
    • Ensure compliance with company financial policies and procedures.
    • Collaborate with the finance team to support month-end and year-end close processes.
    • Maintain organized filing systems for both electronic and paper A/P and A/R documentation.
    • Assist with audits by providing necessary documentation and information.

Qualifications:

  • Must be bilingual (Spanish and English)
  • Must have high school diploma or equivalent.
  • Associate degree in Accounting or must be studying Accounting, Finance, or a related field.
  • Proven experience in accounts payable and/or accounts receivable roles.
  • Soft Skills: Strong analytical skills, attention to detail, problem-solving abilities, time-management, and effective communication.
  • Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle) and Microsoft Excel preferred.
