West Virginia Botanic Garden- Event Staff Intern

The West Virginia Botanic Garden (WVBG) is a non-profit organization whose mission is to seek to foster learning, inspiration, and well-being through the beauty and wonder of plants, the natural environment, and culturally enriching experiences. 

As an effort to further its mission and bring more funding to the garden, WVBG constructed an event center, The Terrace at Tibbs Run, in August 2022. The Terrace has been in high demand as a gorgeous new rental space, mainly for weddings but also conferences, meetings, and other special events. 
 

POSITION OVERVIEW

The Event Staff Intern of the West Virginia Botanic Garden, Inc. (WVBG) serves as an intern for the Event Sales Manager who will assign roles such as: preparing venues for events, greeting guests, and other duties required by the venue. They are responsible for working closely with the Event Sales Manager to ensure the venues are set up, managed, and cleaned up properly for the rental events. Our ideal candidate is somebody who enjoys working with others and has strong interpersonal skills. 
 

This internship position is an at-will employment and is subject to meeting performance expectations of the Executive Director and to the availability of funding for the position. In addition to the terms enumerated below, the Event Staff Intern acts in accordance with the Bylaws of the WVBG as they are enforced at the time they are hired and as they may be amended during their employment.
 

The Event Sales Manager will meet with the Event Staff Intern to review their performance monthly. The Event Staff Intern reports directly to the Event Sales Manager and is expected to communicate work plans with their supervisor. Hours are generally on evenings and weekends and do offer some flexibility.

 

POSITION RESPONSIBILITIES 

Event Staff Intern Responsibilities: 

  • Welcoming guests to the venue
  • Inspecting equipment and venue for potential damage
  • Upholding any safety precautions
  • Being assigned various tasks by the Event Sales Manager
  • Facilitating the proper organization and cleanliness of venues
  • Providing relevant information to event attendees
  • Preparing the venue for and wrapping up events
  • Parking Assistance for larger events
  • Driving golf cart for guest assistance and wedding couples for photo opportunities
     

Event Staff Intern Requirements: 

  • Self-motivated, organized, confident person who is eager to assist in the management of the venue
  • Able to lift chairs, assist with tables, and misc. equipment in excess of 50lbs.
  • Organized and attention to detail
  • Friendly interaction with visitors/potential clients
  • Able to walk to various parts of the garden to put out proper signage
  • Performing well under pressure
  • Ability to efficiently multitask
  • Ability to work weekends
  • This person will often be the first face a guest will see so being polite, assertive, and friendly are a must 
     

Desired experience: 

  • Experience with assisting events
  • Excellent communication skills
  • Team player
  • Confidence in parking assistance/ability to drive golf cart
