Overview
The Office of International Affairs (OIA) is the hub of international activities at IU Indianapolis. We work with people and organizations on campus, in Indianapolis, and throughout the world to enhance internationalization at the university. Our office aims to graduate students who are able to operate skillfully and responsibly in a globalized world, facilitate international engagement and partnerships, recruit and enroll international students, and oversee IUPUI’s study abroad activities.
Client Services Specialists who staff OIA’s Front Desk contribute directly to OIA’s mission by facilitating the international admissions process, providing transition support and advising to international students and scholars, and increasing intercultural understanding and awareness through promotion of our events and programs.
Essential Duties and Responsibilities
40 % - Assists with walk-up interactions to OIA’s Front Desk. Student will provide information to visitors to OIA regarding international admissions, international services and other topics as well as general information about IUPUI. Student will greet and escort visitors who have scheduled appointments to the appropriate office location.
40 % - Manages the OIA email inbox and answers OIA’s main phoneline. Student will answer general immigration queries and direct inquiries to the appropriate teams for assistance.
15 % - Manages intake of student and scholar documents. Student will process intake of student academic documents and mail items according to document processing protocol, sort items to the correct places, and alert the appropriate teams when mail items are received.
5% - Other projects will be assigned as needed.
Skills Developed
Communicator – Students will learn how to be better communicators by building relationships with peers and fellow students.
Problem Solver –Students will gain analytical skills and practice making judgment calls by evaluating current procedures and differentiating between standard inquiries and ones that may need additional attention.
Community Contributor – Students will increase familiarity with and gain knowledge about other cultures through interacting with members of the community.
Qualifications
Required Qualifications
Must be reliable and consistent.
Must arrive on time for scheduled shifts.
Must be comfortable navigating multiple systems simultaneously.
Must be able to respectfully and effectively communicate with diverse groups of people.
Preferred Qualifications
Availability for 15-20 hours per week
Working knowledge of Microsoft Office Suite programs.
Previous customer service experience.
International and/or study abroad experience.
Availability to work Summer 2025 through Academic Year 2025-26.
