Job Duties

The Department of Environmental Quality (DEQ) is seeking a qualified candidate for the role of Division of Water Administrative Coordinator. This position will assist the Offices of Water Permitting and Clean Water finance with both administrative and technical components of running these programs. This position will plan and coordinate business management or administrative and support services for Clean Water Finance and Water Permitting; as well as supervise administrative activities related to fiscal management, human resources, procurement and other administrative activities. The Administrative Coordinator serves as a specialist responsible for gathering facts, analyzing findings, reaching logical conclusions, recommending solutions and coordinating confidential or highly sensitive projects. This position is responsible for maintaining and reporting monthly and quarterly budgets to leadership staff, coordinating FOIA efforts, assisting division staff with specific activities related to program operations and compliance. This position is also responsible for helping to ensure that the Standard Regulatory Process and the Administrative Process Act are followed in advertising permits and proceedings as well as notifications for all regional permit actions for water permitting. This position will also assist with data entry and review in ECM/CEDS (DEQ’s internal recordkeeping portals), as well as QA/QC when appropriate of specific files for both Clean Water Finance and Water Permitting.

Minimum Qualifications

• Considerable knowledge of agency programs/operations; office management, procedures and practices.
• Considerable knowledge of budget preparation and administration.
• Considerable knowledge of information processing equipment, file management, and business principles.
• Ability to work effectively and productively with a diverse group of employees and customers.
• Demonstrated effective oral and written communication skills, receptionist skills, application of English grammar, to include, typing, editing, and proof-reading.
• Demonstrated ability to apply knowledge of programs, operations, and administrative. policies and procedures.
• Must be experienced in making frequent contacts with management and staff, general public, boards, and government officials to plan and/or coordinate activities and to serve as a resource person on administrative policies and procedures.

Additional Considerations

Current experience in working with Cardinal, EVa, or other fiscal/procurement resources used by the Commonwealth of Virginia.
