Child Study Team Assistant / Front Desk Clerk
Job Goal: To ensure the efficient operation of the Child Study Team and the special education program as a whole, while performing the day to day front desk clerical responsibilities.
Qualifications:
- High School diploma. Experience in secretarial/clerical field and Microsoft Office products and database systems including; Word, Google, Excel. (Knowledge of EdPlan a plus.)
- Successfully completes required criminal history check.
- Strong interpersonal/organizational skills, including good telephone skills, and ability to communicate effectively verbally and in writing.
- Ability to develop effective working relationships with staff, parents, & administrators.
- Ability to work in a team environment, willing to collaborate and compromise.
- Ability to maintain confidentiality in all situations and interactions.
- Positive self-started with a professional attitude and strong work ethic.
- Ability to resolve problems and make decisions in a timely manner.
- Must be able to multitask, with attention to detail, in a fast-paced work environment.
- Bilingual preferred (English/Spanish).
Essential Performance Responsibilities:
- Direct all incoming phone calls and returning calls from parents
- Greet visitors, parents, and students and direct them to the appropriate person or office
- Perform general clerical duties, such as filing, photocopying, and scanning documents
- Maintain accurate record of all incoming calls and responses
- Maintain confidentiality of student and staff information
- Update PowerSchool parent contact information as needed
- Manage school correspondence (Handling and distributing Mail)
- Complete transfer forms for students transferring out
- Provide information to parents in absence of team members
- Coordinate meetings, including annual, initial reviews for special education students with CST and parents throughout the year as required by NJ Special Education Code, send parent and teacher notification of meetings, coordinating substitute coverage for teachers, and provide schedules for substitute teachers. Maintain a CST testing log to assure all evaluations are completed in accordance to NJ Special Education Code timelines
- Proofread all documents before sending to parents
- Send parent notifications of meetings, testing, and evaluation results within mandated timeline
- Support CST members with student records in accordance with state guidelines
- Maintain an accurate list of all special education students and provide this information if deemed necessary to the Board President, Principal, Director of Guidance & Support Services, and CST staff on a monthly basis.
- Record and track Resource/In-Class Support services
- Communicate with out of district CST offices; request/forward CST records when a student transfers in/out of district
- Correspond with parents when required
- Submit any educational state reports
- Take accurate notes during CST meetings
- Attend required workshops to remain up to date on state/federal requirements and changes
- Administrator of the EdPlan system; this includes participating in online webinars to remain up to date on revisions to the site, providing training and support to teachers/staff, creating draft documents prior to CST meetings, finalizing documents following meetings, monitoring staff use of the EdPlan system, and coordinating with the social worker to provide changes/modifications to EdPlan as needed.
- Summer work; involves creating an hourly office schedule for the summer and completing all duties outlined above.
- Assist with special projects and other duties as needed.
Job Type: Full-time
Pay: $27,000.00 - $37,000.00 per year
