Part-Time Intake Coordinator

This is a part-time remote position assisting a Psychologist who specializes in Cognitive Behavioral Therapy for Psychosis (CBTp) and responsible for the initial point of contact for all new patients. This position will require 5-10 hours per week on average, (no more than 40 hours per month while we are filling my caseload). The ideal candidate for this position has empathy, patience and a willingness to guide patients and their families through the treatment services that we offer. Being able to stay calm and respectful in the face of conflict is a must as many individuals and family members are overwhelmed and frustrated as they search for care for themselves and their loved ones. An understanding of HIPAA and consent regulations to ensure the integrity of the practice is imperative.

People with psychosis have been short changed for too long. Traditionally in the US their treatment has been limited to hospital outpatient or community mental health clinics that are housed in well known to be stigmatizing to the community buildings, have noisy and sometimes unsafe waiting rooms, and give an all round “illness” attitude that many people with psychosis don’t agree with. Also traditionally treatment has been provided by early career clinicians, straight out of graduate school (or even still in graduate school on internships or externships), looking to gain clinical hours before moving up and out to something else. These clinicians are often not highly skilled or trained in evidence based therapies. I believe that people with psychosis deserve better!!! Psychosis can happen to anyone, regardless of who or where they are.  As such people with psychosis deserve treatment the same as you or I: high level, gold standard, evidence based treatment, regardless of ethnicity, religion, spiritual beliefs, sexual orientation, gender or socio-economic status; as well as choice in treatment location, which includes the option to attend in stigma reducing settings such as a beautifully furnished office in an unmarked building with a silent and safe waiting room.

Mission statement:

At NYC CBTp we take a normalizing approach. We believe experiences and beliefs commonly regarded as symptoms of psychosis are often highly understandable reactions to adverse life events. We avoid using labels, unhelpful diagnosis or judgment. Our primary aim is to help patients overcome their distress and achieve their goals, as well as develop ways of restoring autonomy and dignity, without shame or stigma. We work from a person centered, recovery oriented perspective, which means we do not believe that patients are sick, wrong, or bad. ​We provide a supportive and accepting therapeutic environment for all, regardless of race, ethnicity, religion, spiritual beliefs, sexual orientation or gender.

Approx 40 hours per month (I see patients three days per week and am taking on a lot of new patients right)

Responsibilities and Duties:

-Responding to patients initial emails/phonecalls within one business day.

-Send out intake forms, screening tools and credit card forms to be completed electronically by patient before scheduling intake.

-Set up new patients in  EMR, including the patient’s credit card information and scheduling appointments. 

- Nurture patients waiting for an intake appointment.

-Maintain CRM of referral sources and nurture relationships with referrers to maintain steady stream of referrals

Qualifications and Skills:

- Knowledge and training in HIPAA and willingness to sign and follow a BAA

-Technologically savvy. Knowledge of Theranest, Jotform, Mailchimp and Airtable a bonus.

-Customer service oriented and able to deal calmly with potentially difficult patients.

-Experience with Google Workspace and Microsoft Office.

-Ability to meet strict deadlines.

-Flexibility in what tasks are needed each week as it varies.

-Ability to communicate clearly, especially over technology (as this is a virtual position).

-The ability to ask for clarification when needed.

-Detail oriented.

-Ability to take on new tasks and challenges as needed.
