Counselor for Graduate, Professional, and Seminary Students
Description
The Department of Registration seeks a team member for a full-time (40 hr/wk) Counselor for Graduate, Professional, and Seminary Students. Reporting to the Associate Registrar, the Counselor for Graduate, Professional, and Seminary Students oversees, maintains, and processes the registration data records for the adult and graduate programs. This position also works with the Associate Registrar and Registration Department on special tasks and strategic initiatives and supports the students, faculty, and staff of the University with the understanding and completing of the registration processes and procedures.
Job Responsibilities:
Oversee the student records and registration data management of the Adult and Graduate Programs, all with a high level of integrity and understanding of policies and procedures (both internal and external). This includes:
- Maintaining and processing student records
- Maintaining the accuracy of the academic plans for student
- Staying abreast of and understanding pertinent regulations dealing with the maintenance and confidentiality of student records
- Collecting, reviewing, and processing Application for Degree forms of all GPS students. This includes maintaining the accuracy of the potential commencement graduates list used by all academic departments on campus in preparation for the Commencement ceremonies, along with designating the appropriate honors, minors, and certifications.
- Overseeing the graduation process for all adult and graduate students
- Creating and storing in SIS graduation audits for all potential graduating students.
- Reviewing and inputting transfer credits for adult and graduate students
- Processing grade reports for students requiring reimbursement.
- Researches and maintains accurate advisor assignments for GPS programs.
- Partnering with the Assistant Registrar for GPS maintains accurate degree plans and audits for GPS students.
- Process various forms for GPS Students such as deferments, licensing, enrollment verifications, OSAP, and trip forms.
Oversee support to the students, faculty, and staff of Adult and Graduate Programs. This includes:
- Serving as the primary GPS Registration liaison with students, customers, and faculty via in person, emails and phone calls to the Registration Office.
- Generating and providing key instruction/announcements/communication to all customers (students/faculty/staff).
- Training and assisting GPS students with the online registration process.
- Working closely with faculty on registration/advisement forms.
- Researching missing, blank and incomplete grades for all GPS students to ensure accurate academic records.
Provide substantial support to the Registration Office initiatives. This includes:
- Is a Designated School Official, DSO, at RWU/NES. This work involves understanding and staying up to date with the federal regulations involving international students and reporting requirements.
- Partners with the Coordinator for Dual Enrollment to create all courses and register students for dual enrollment.
- Working with the programs and units on campus to generate and update the master class schedule and course catalog, two significant projects for the Registration Office each year.
- Supporting strategic academic initiatives determined by Academic leadership.
- Providing support to events like the Commencement ceremonies in partnership with the Office of Academic Affairs
- Maintain for all student’s accurate student names and addresses in the SIS system.
- Performing other duties as assigned.
