Administrative Associate - Land Preservation

The Forest Preserve District of DuPage County provides opportunities for people to connect with nature. We offer to the public 60 forest preserves, 166 miles of trails, 47 miles of rivers and streams, and 6 nature and cultural centers. We have 6 million visitors each year.

The District's mission is, "to acquire and hold lands containing forests, prairies, wetlands and associated plant communities or lands capable of being restored to such natural conditions for the purpose of protecting and preserving the flora, fauna and scenic beauty for the education, pleasure, and recreation of its citizens."


 

Job Summary

This position provides high-level administrative and technical assistance necessary for the daily operations and administration of the Land Preservation unit with recordkeeping and other administrative support tasks.

Essential Duties and Responsibilities:

  • Perform day-to-day administrative duties, including, filing, opening and distributing mail, scanning of documents, and preparing documents for meetings.
  • Utilize suite of Microsoft Office software products to create, prepare, and modify a variety of reports and documents.
  • Maintain the Land Acquisition and Conservation Easement databases, including preparing reports and managing computer and hard-copy files.
  • Perform administrative duties for land acquisition projects, such as assigning project numbers, processing tax exemption applications, and property rating requests.
  • Support the Conservation Easement program with administrative tasks.
  • Download and organize Land Preservation files for Board review.
  • Provide administrative support for Easement, License, Lease, and Intergovernmental Agreement (IGA) projects.
  • Manage the Requisition database, including preparing and processing requisitions for invoice payments.
  • Oversee the Record Retention database for off-site Land Preservation files.
  • Maintain the Public Notice database and hard-copy files.
  • Draft correspondence as directed by the Land Preservation Manager.
  • Foster a working environment that promotes safe work habits; Become familiar with and observe all applicable safety rules, policies, and work procedures; Follow all safety rules that pertain to the duties performed and support all aspects of the district's safety and risk management program; Keep work area clean, orderly, and free of hazards; Immediately report all unsafe conditions and incidents.
  • Maintain a supportive working environment and demonstrate a desire to exceed the expectations of internal and external customers.
  • Perform other duties as required.

Requirements:

  • High School Diploma/GED, 1-3 years of related experience in an administrative role, or equivalent combination of education, training, and experience.
  • Ability to perform job duties with a high degree of tact and discretion while dealing with confidential materials and actions.
  • Proficiency with Microsoft Office Suite.
  • Proficiency with Microsoft Access or other database management software preferred.
  • Ability to maintain complete, accurate, and organized records.
  • Ability to handle confidential and sensitive information with discretion and professionalism.
  • Effective verbal and written communication skills.
  • Ability to establish rapport and maintain effective working relationships with the public, vendors, elected officials, and staff.
  • Ability to prioritize and manage multiple tasks and projects while interpreting and applying complex written and verbal instructions.

Hours: Part-time Monday - Friday, 20 hours per week. Hours are flexible throughout the week.

Location: Office setting at Forest Preserve District Headquarters in Wheaton, IL.

Starting Salary: $20.79 - 23.39 an hour.

Eligible for performance review and possible pay increases biannually.
