Part-Time Rooming Assignment Intern

Job Title: Rooming Assignment Intern

Duration: Spring 2025: January 21st- May 1st, 2025
Hours: Part-time, hybrid, 12-18 hours/week

 

Position Overview:
At EF Explore America, our goal is to help teachers provide their students with modern and immersive educational experiences through travel. Our North American class trips are meant to open the world to students and teach them more about other cultural perspectives as well as themselves.

 

Explore America is seeking a detail-oriented and proactive part-time Rooming Assignment Intern to assist with the entering rooming assignments on behalf of our customer base. This role will involve working closely across our Sales and Operations departments to ensure that rooming data is accurately inputted within specified deadlines into our specialized Hotel Rooming Platform. The ideal candidate will be responsible for collaborating with our Account Management team to obtain precise rooming information and ensuring that all assignments are completed on time. Experience with Microsoft Office, particularly Excel, is essential for this position, as data management will be a key part of the role. Additionally, the intern will need to manage multiple rooming entries simultaneously, ensuring accuracy and attention to detail under tight timelines.

 

Key Responsibilities: 

  • Accurately input customer rooming assignments into our Hotel Rooming Platform within established deadlines.
  • Collaborate with the Sales team to gather precise rooming information, including customer preferences, special requests, and rooming requirements.
  • Track and maintain rooming assignment data, ensuring all details are up to date and accurate.
  • Juggle multiple rooming assignments simultaneously, ensuring accuracy and efficiency while meeting deadlines.
  • Communicate with both Sales and Operations teams to address discrepancies, resolve issues, and adjust rooming assignments as necessary to meet deadlines.
  • Assist with other administrative tasks as required, such as data entry, filing, and document preparation.
  • Review booking and rooming data to ensure there are no errors that could affect guest experiences or hotel operations.

Qualifications: 

  • Proficient in Microsoft Office, particularly Excel, Word, and Outlook.
  • Previous experience in administrative or data entry roles is a plus.
  • Strong attention to detail and accuracy in entering data.
  • Excellent organizational and time-management skills, with the ability to meet strict deadlines.
  • Ability to juggle multiple tasks simultaneously, maintaining accuracy and efficiency.
  • Ability to work independently and collaboratively within a cross-functional team.
  • Strong communication skills, both written and verbal, and the ability to effectively collaborate with multiple departments.
  • Ability to handle sensitive and confidential information with discretion.

Preferred Qualifications: 

  • Familiarity with CRM software or reservation systems is a plus but not required.
  • Previous experience in sales support.
  • Experience working in a fast-paced, deadline-driven environment is beneficial.
