Who We Are:

 

The Department of Administrative Services is part of the executive branch of the State of Georgia.  The Department has five divisions that serve all other state entities and numerous local governments in procurement, risk management, fleet management, surplus property, and some human resources functions. There is also one division that supports the internal staff in human resources, information technology, communications, learning, legal, finance, and planning and performance. The Planning and Performance function coordinates periodic strategic planning, process improvement, some non-IT project management, and data solutions (from collection, to analysis, to reporting).

 

Program Performance Intern Opportunity Overview:

 

This Internship opportunity is to support the Planning and Performance function with several of its efforts around data collection and reporting, data analysis, and planning support that may involve any of the Department’s programs or the Department overall. Previous projects included:

 

  • Program Metrics: Periodically all Department programs revise or report on a set of topics that highlight important functions, key performance indicators, or trends against benchmarks. Interns could support the review and revision of these metrics, help standardize data collection tools, or conduct analyses for outliers and trend identification.

 

  • Agency Planning: Periodically all Department program leaders collaborate to create, edit, and adjust parts of the strategic plan (like goals, objectives, strategies, and timelines). Interns could support organizing progress reports, determining program accomplishments, updating executive briefing materials, and arranging workshop sessions to collaborate with staff on revisions.

 

  • Workforce: With the increased focus on workforce strength and dynamics in state government, Interns could support additional reporting or analyses on the health of the state’s workforce based on data from the Human Resources Information System throughout the year, or participate in statewide initiative tracking from multi-agency partnerships.

 

  • Legislative Activities: While the General Assembly is in session, Interns could be asked to assist with assessing proposed legislation, reporting on committee activities, or monitoring policy initiatives that relate to agency programs.

 

  • Process Improvement: Occasionally there may be initiated or continued work on internal process improvement projects using independent research and customer feedback.

     

Program Performance Intern Responsibilities (under supervision):

 

  • Become conversant in the basic service portfolio and functions of all Department programs.
  • Communicate with program leaders and managers to coordinate discussions on trends, program metrics, strategic plan updates, and accomplishments.
  • Receive, organize, combine, edit, and recommend improvements to collected information from all Department programs for inclusion in executive briefings and stakeholder reporting.
  • Review and assess data from operational data systems using basic-to-intermediate statistical analysis.
  • Research available best practices and reporting from other U.S. states on topics related to Department programs and services.
  • Explore available opportunities to improve internal program processes, and/or continue an ongoing process improvement project.
  • Provide timely and detailed status updates on schedule availability, project progress, and expected timelines to completion.
  • Develop and maintain a professional attitude; be mindful of courteous communications on behalf of the Department in all written and verbal exchanges.
  • Ensure confidentiality of all records, files and other documentation encountered in the course of duties; be diligent with cybersecurity best practices and hygiene.

 

Program Performance Intern Candidate Required Knowledge, Skills, and Abilities:

 

  • Enrollment in accredited higher education program within the State of Georgia.
  • Intermediate knowledge of relational databases, descriptive statistics, hypothesis testing, and research methods.
  • Intermediate knowledge of Office 365 data tools (Excel, Access).
  • Basic familiarity with Office 365 productivity software/tools (Outlook, Word, PowerPoint).
  • General understanding of visual representations of data and data trends.
  • General understanding of ways to find and access government data reports using the Internet.
  • Willingness to create and follow standard business process documentation.
  • Ability to display time management, timeline tracking, and multiple step process dependencies.
  • Strong attention to detail, and ability to review and improve draft documentation.
  • Comfort with written and verbal communication, and a willingness to present to peers and superiors.

 

Program Performance Internship Work Locations, Work Settings, and Expectations:

 

  • In-person workspaces are located at 200 Piedmont Avenue SE, Atlanta, Georgia 30334, in the Floyd State Office Building. This is located across the street from the Georgia State Capitol and directly above the MARTA Georgia State transit station.
  • Nearly all work responsibilities can be accomplished remotely; and technology tools will be made available to accomplish such. The Department observes a hybrid working environment, and all staff will be responsible for safe and appropriate use of the technology resources.
  • For on-boarding, networking, and professional development considerations an Intern can expect to work in Department office spaces 1 to 2 days per month. The scheduled days can be adjusted for considerations of distance, travel, and class schedules.
  • Most work is accomplished in an office setting, or at a personally-arranged remote setting, and involves interacting with data files and documents through a computer terminal. Any remote workspace used must be represented to be safe, comfortable, and conducive to productivity. No heavy lifting, or prolonged periods of standing or moving, are required.

 

Program Performance Internship Timeframe:

 

Start: January 2025

Paid Internship: $15 an hour

Time Commitment: No more than 29 hours of work per week. Internships last for 3 to 6 months.
