Associate Director, Operations and Finance

Nature of Work: The Associate Director, typically under the direction of the Director or above, designs, develops, implements and interprets departmental processes and programs. The Associate Director may provide leadership and guidance for a university department. Generally supervises three (3) or more budgeted position direct reports. May function as the Director in his/her absence.

Typical Responsibilities: Advise and assist in planning, directing and reporting of the activities of one or more functional areas within a department. Assist in the development and implementation of the department’s programs. Assist with budgeting and staffing necessary to meet contractual obligations. Contribute to the short and long term vision and planning for the department. Assist in developing and/or managing the implementation of policies, processes, and training.

Required Qualifications: This position requires either (a) Master’s degree from an acceptable accredited institution in a directly related area of specialization and four years of experience directly related to the job functions; (b) Bachelor’s degree from an acceptable accredited institution in a directly related area of specialization and six years of experience directly related to the job functions; or (c ) 10 years of direct experience.

 

Finance 

  • Provide analysis and oversight for Coggin College of Business Education and General (E&G), Auxiliary, Contracts and Grants (C&G), and Foundation budgets and fiscal resources. Design, implement, and enhance reporting systems to ensure timely and accurate reporting of data. 
  • Submit divisional budget-cycle deadlines on behalf of the College, including auxiliary packets, summer worksheet, and recurring, non-recurring, carry forward, and rollover requests. 
  • Develop and advise on departmental budgetary practices in coordination with college departmental chairs, directors, budget personnel, faculty, and administration. Facilitate budget discussions with Coggin departments. 
  • Manage the spending distributions from and endowments of approximately $30 million, split across more than 100 individuals accounts. 
  • Coordinate, recommend, and approve budget allocations, transfers, and adjustments as needed to accomplish the goals and objectives of the college. 

Personnel 

  • Supervise positions P-00000648 and P- 00000286.
  • Onboard and provide continued training to office managers and budget staff. 
  • Submit faculty recruitment plans to Academic Affairs. Advise departments on posting positions and hiring of full-time faculty. 
  • Track rate reserves and update position descriptions, as needed, for the College.
  • Coordinate job posting and hire documentation for positions reporting to the Dean. 
  • Serve as the primary College liaison to Academic Affairs for personnel actions, including adjunct contracts, overloads, visiting faculty, and sabbaticals. 

Building and Technology 

  • Point of contact for building renovation requests initiated by the college. 
  • Oversee the activation of physical resources, including classrooms, offices, furniture, and technology. 
  • Ensure training for college-wide and University-wide systems (ex. Workday) is communicated to departments. 

Compliance 

  • Prepare and report college financial information to its specialized accreditor, AACSB.
  •  Coordinate actions/responses to State, Federal, and University audits. 

Schedule 

  • As the designated College Scheduler, be the point of contact for Records & Registration.
  • Advise chairs on scheduling timeline and policy.
