Join Our Team as a Patient Access Specialist!

As a Patient Access Specialist (PAS), you’ll be at the heart of our patient experience, staffing the front desk, checkout, and call center. In this versatile role, you’ll handle essential tasks like patient registration, scheduling, managing calls, and other customer service-related responsibilities. You’ll also play a key role in verifying insurance, addressing customer concerns, and resolving minor complaints to ensure our patients consistently receive the highest quality service.

What You'll Do:

Patient Confidentiality & Customer Service

  • Maintain strict patient confidentiality in line with HIPAA regulations
  • Deliver outstanding customer service in alignment with our Customer Service Performance Standards
  • Handle patient interactions—both calls and visits—professionally and courteously
  • Address challenging situations, answer questions, and resolve minor complaints with empathy and efficiency
  • Keep open lines of communication with providers, medical assistants, and staff, working as a team to support patient care
  • Maintain up-to-date knowledge of our organization’s services and upcoming events relevant to patient needs

Registration

  • Welcome patients and guide them through the registration process using our Electronic Medical Record (EMR) system
  • Scan and upload essential patient documents, including IDs, insurance cards, and disclosures, into the EMR
  • Verify and update patient demographics at every visit
  • Assist patients with completing necessary forms and documentation
  • Manage payments at the time of service, including cash box security and daily reconciliation
  • Monitor patient flow from registration to treatment, ensuring all concerns are met by checkout
  • Mails documents on an as-needed basis
  • Ensures the waiting and reception areas are kept neat, clean, and safe from any hazards and reporting on any damages
  • Monitors and ensures office supplies and forms are available for the day-to-day office operation

Scheduling Duties:

  • Answer a high volume of patient calls courteously, managing tasks within your scope and routing others as needed.
  • Accurately enter new patient information in the EMR and update records for existing patients.
  • Obtain and verify demographics and insurance information
  • Verify insurance eligibility and demonstrate understanding of contracted payors
  • Identify patient needs, resolve inquiries, and schedule or modify appointments accurately and efficiently.

Additional Duties: 

  • Provide support at other sites as needed.
  • Perform additional duties as assigned.

Qualifications:

  • High School diploma or equivalent.
  • Ability to stay calm and professional in a fast-paced, dynamic environment.
  • Positive attitude and professional appearance.
  • Strong attention to detail, timeliness, and a commitment to continuous improvement.
  • Excellent communication and customer service skills.
  • Familiarity with EMR applications is a plus.
