Chief Deputy Clerk of Courts
Supervises, coordinates, plans and directs the activities of staff in the Clerk of Courts office: informs and directs staff regarding changes in Wisconsin Statutes and rules and regulations affecting the Clerk of Courts office; assists customers daily.
Essential Duties
Supervises, plans, schedules and directs the work of subordinates; instructs and trains employees in proper methods and procedures; inspects work in progress and upon completion; interviews and makes recommendations regarding prospective candidates; monitors and evaluates performance of staff; disciplines staff as appropriate; develops and is responsible for compliance with policies and procedures; ensures the smooth day-to-day operations of the Clerk of Courts office.
Assists with counter and telephone inquiries and complaints; handles complaints or problems which staff are unable to resolve.
Schedules swing clerk assignments to courts; prepares vacation schedules for staff; signs and approves time cards and leave requests.
Oversees and implements the correct filing procedures for complex legal documents according to state statutes.
Keeps abreast of legislative changes; develops and implements new procedures to keep consistent with these changes and pertinent rules and regulations.
Acts as liaison with District Court Administrator, Court of Operations, Judges, Attorneys and other related agencies.
Coordinates the storage and destruction of exhibits, in accordance with Chapter 3 of the County Code.
Oversees entire electronic records management system; monitors entire system; instructs employees in proper filing system procedures; determines when to move records to off site storage and also determines when records may be destroyed, in compliance with the appropriate guidelines and requirements.
Reviews and ensures statutory requirements of the Clerk of Courts are being met; creates and modifies policies and procedures as required on a timely basis; and communicates all changes to staff as necessary.
