Salary:  $18.74 - $26.24 Hourly

General Description: Pasco County Utilities Operations and Maintenance Department is seeking an engaged, customer service oriented team player to be our next administrative secretary. The position is responsible for advanced clerical work and administrative responsibilities including  compiling and reviewing records, reports, and other documents; managing department-wide purchases and payroll; and other administrative duties. The ability to provide excellent customer services by phone, in-person, and through mail (electronic and hard copy) is required.

Essential Job Functions: The following duties are illustrative and not exhaustive. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.

  • Responsible for typing and formatting correspondence, legal documents, manuals, narrative and complicated statistical material, and other unique documents.
  • Proofreads work, edits and corrects formatting, grammatical, and spelling errors.
  • Edits documents to ensure County policies are incorporated within documents.
  • Drafts, proofreads, and processes reports, letters, and documents for supervisor's signature.
  • Assist with incoming phone calls, and refers calls to other employees, officials or Departments when necessary.
  • Works overtime as required to meet project deadlines and/or backlog.
  • Manages all recruitment and on-boarding for the department.
  • Provides support for several department-wide purchases and assists with payroll duties.
  • May assist with the review of fiscal and budgetary information, participates in strategic and business planning, and prepares agenda packets for inclusion on the Board of County Commissioners' meetings.
  • Responsible for providing excellent customer service to internal and external customers.

Knowledge, Skills and Abilities: 

  • Proficient with Microsoft Office Suite including Excel, Word, and Power Point.
  • Knowledge of grammar, spelling, and punctuation.
  • Knowledge of standard office methods and accounting procedures.
  • Ability to make mathematical calculations with reasonable speed and accuracy.
  • Ability to prepare routine documents and compose letters and memoranda.
  • Ability to operate office equipment.
  • Ability to make decisions in accordance with the departmental rules, regulations, and policies.
  • Ability to establish and maintain effective working relationships with employees and the public.
  • Ability to follow oral and written instructions.

Minimum Requirements:

PHYSICAL SKILLS:  Ability to communicate effectively using verbal, written, and visual communication.

EDUCATION, TRAINING AND EXPERIENCE: Graduation from an accredited college or university with an Associate degree in natural resources or related field and one (1) year of secretarial and/or clerical experience including typing experience and operation of a personal computer OR graduation from high school or possession of an acceptable equivalency diploma and three (3) years' of secretarial and/or clerical experience including typing experience and the operation of a personal computer. Proficient with Microsoft Office Suite, with emphasis on Excel. 

In House Employees:  This position qualifies for DAP.

LICENSES, CERTIFICATIONS OR REGISTRATIONS:  Must possess a valid Florida driver's license.
