Administration Student Assistant

Responsibilities: Characteristics, duties, and responsibilities of the Administration Student Assistant include:

  • Assist:  Assist with Administrative duties, create reports and perform general duties as requested.  Respond to inquiries, routine questions and problems.  Assist all department staff members with special projects and perform other duties as assigned.
  • Customer Service: Provide quality customer service for clients and students that visit the Student Union.  Produce information on a timely basis using all resources to assist client’s questions.
  • Duties as Assigned:  Perform tasks from the Master Plan as assigned by the Administration Manager to meet and accomplish daily responsibilities.
  • Projects: Special projects are performed independently. Duties will be assigned, trained and rotated per year or semester.
  • Forms:  Assist Department of Student Life staff members with completing forms as needed.
  • Mailboxes/Nametags: Update department mailboxes to reflect new/terminated employees.  Order nametags for all new employees as requested..
  • Uniforms:  Department liaison for assigning and cleaning the area uniforms.  Submit accurate records to process payment requested by vendors.
  • Lists:  Update department contact lists with new staff members or numbers as needed.
  • Budget and financial expenditures processed for both departments; including VISA, contract, and working within two different financial systems
  • Keeping track of visitors and phone calls for the Administration desk.
  • Making new hire packets.
  • Printing out and managing conference room signs.
  • Department birthday signs and bulletin board (fun board).
  • Paper and business card orders- Using University forms and codes in order to ensure there is paper for the printers and new hire’s get business cards when needed.
  • Keep the new hire tasks and birthday list up to date for each month.
  • General Duties:  Expected of all Administration Desk staff members:
    • Procedures: Have knowledge of all procedures regarding daily duties, special projects and procedures regarding the Administration Area. Complete opening and closing duties efficiently.
    • Office equipment: Knowledgeable of copier/printer, fax machine, phones, Microsoft Office (including Outlook and Excel), assist department staff members as needed.
    • Shifts: Work all scheduled shifts with dependability and punctuality.
    • Fraternity and Sorority Life paperwork: Receive paperwork and money from fraternities and sororities and give to the appropriate staff members.  Create deposit slips from Game Room and Source as needed.
  • Meetings: Attend bi-weekly mandatory Administration Area meetings.

 

Qualifications:                                 

  • Must be Undergraduate Student enrolled in 6 undergraduate credit hours. Must have and maintain 2.00 cumulative G.P.A.
  • Able and willing to work 10-15 hours/week.
  • Strong customer service and excel skills.  Ability to meet deadlines, multi-task and provide attention to detail.
  • Proficient with computers and Microsoft Office (Outlook, Excel and Word).
