Administrative Assistant

Job Summary:

We are seeking a highly organized and proactive Administrative Assistant to provide support to our team and ensure the efficient operation of daily office tasks. The ideal candidate will have strong communication and organizational skills, a professional demeanor, and the ability to handle multiple responsibilities simultaneously.

Key Responsibilities:

  • Office Management: Maintain office supplies inventory, order materials as needed, and ensure a clean and organized office environment.
  • Communication: Answer phone calls, respond to emails, and direct inquiries to the appropriate team members.
  • Scheduling & Calendar Management: Coordinate meetings, appointments, and travel arrangements for team members.
  • Documentation & Filing: Prepare and organize documents, files, and records, ensuring accurate filing and easy retrieval.
  • Data Entry: Input and update data into various systems, databases, and spreadsheets.
  • Correspondence: Draft and proofread emails, memos, and other correspondence.
  • Customer Service: Assist with client inquiries and provide exceptional service when needed.
  • General Administrative Support: Assist with any other administrative tasks as required, including organizing events, processing invoices, and preparing reports.

Qualifications:

  • Education: High school diploma or equivalent required. Associate’s or Bachelor’s degree in business administration or related field is a plus.
  • Experience: At least 1-2 years of experience in an administrative or office support role is preferred.
  • Skills:
    • Strong organizational and multitasking skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
    • Excellent written and verbal communication skills.
    • Ability to maintain confidentiality and handle sensitive information.
    • Attention to detail and problem-solving skills.
    • Ability to work independently and as part of a team.
