Executive & Operations Assistant
We are seeking a highly organized, proactive Executive & Operations Assistant to support our executive team and assist with the daily operations of a growing business. The ideal candidate will be a multitasker with excellent communication skills and the ability to work in a fast-paced environment. While we are a small company, there is potential for growth, with this role evolving into a pivotal position in the company over time. We are looking for a candidate who is looking for a long term career with a company.
Key Responsibilities:
- Provide administrative support to executives, including calendar management, travel arrangements, and expense reports.
- Manage and organize email communications, ensuring prompt responses and follow-ups.
- Assist with project coordination by tracking deadlines, deliverables, and progress.
- Coordinate and plan company events and meetings.
- Take calls, communicate professionally with clients, vendors, and other stakeholders, and greet visitors.
- Attend meetings, take notes on actionable items, and ensure follow-up.
- Assist in preparing reports, presentations, spreadsheets, and other documents as needed.
- Utilize computer literacy skills to create professional documents and presentations.
- Perform data entry tasks accurately and efficiently.
- Maintain confidentiality of sensitive information.
- Handle basic financial tasks using QuickBooks (experience is a plus).
- Assist executives with personal tasks and errands as needed.
- Keep the business owner on schedule, managing calendars and meetings.
Skills & Qualifications:
- Proven experience as an Executive Assistant, Operations Assistant, or similar role.
- Strong organizational skills and the ability to prioritize tasks efficiently in a dynamic environment.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with other relevant tools (e.g., Google Workspace, task management software).
- Knowledge of phone etiquette and a professional demeanor in all communications.
- Ability to manage multiple tasks and work independently.
- High level of attention to detail and accuracy.
- Event planning experience is a plus.
- Familiarity with QuickBooks or other financial tools is a plus.
