Position Title: Student Services Assistant

Organization: Indiana University Indianapolis (IUI)

Department/Office: Center for Transfer and Adult Students (CTAS)

Hourly Wage: $13.00

Number of openings: 1

Average Hours/Week: 10 - 12 hours per week

Schedule: some time M – F, 8am – 5pm  

Reports to: Director, Student Success whose work oversees student success area, for transfer and adult students. Students may also report to the Managing Director of CTAS.

Position Overview

The Center for Transfer and Adult Students is seeking a Student Services Assistant to provide support for our office needs. The student services assistant position is an opportunity for a current IUI student to represent the Center for Transfer and Adult Students and promote the services and programs offered by the office. The student services assistant will primarily provide front desk and administrative support by scheduling appointments, providing great service to guests, and other assignments as needed. 

Job Duties and Responsibilities

  • Provide administrative support at the front reception area including processing mail and creating any necessary signage for important announcements
  • Answer questions for current and prospective students in person and via the phone and email
  • Provide information to visiting prospective, returning, and/or transfer students on admission requirements and important deadlines via phone and email
  • Answer the phone and schedule student appointments with office staff as needed
  • Collaborate with University College student staff and professional staff as needed
  • Other duties and projects as assigned

Desired Minimum Qualifications

Availability:

  • Requires weekly availability between 8:00am – 5:00pm (M-F) in a minimum of 2-hour time blocks. In person on campus position. Schedule is created by CTAS professional staff within student’s weekly class schedule.

Education and Experience:

  • Enrollment as an undergraduate student at IUI
  • Second semester Freshman, Sophomore, or Junior by academic standing preferred
  • Candidates with experience in a customer service-related setting encouraged to apply.

Knowledge, Skills, and Abilities:

  • Working knowledge of Microsoft Office Outlook, Teams, Word, and Excel
  • Comfortable answering the phone and returning phone calls when necessary
  • Comfortable managing office emails, returning and forwarding when necessary
  • Ability to work effectively with diverse populations
  • Ability to professionally communicate student perspectives to staff and administrators
  • Ability to positively represent IUI and the Center for Transfer and Adult Students

In this position, students will gain experience with the following IUI Profiles of Learning:

  • Communicator – Students in this position will develop quality listening skills through interacting with several stakeholders, including Indianapolis community members, IUI faculty and professional staff members. Students will process and relay information to a diverse audience.
  • Problem Solver – Students in this position will collaborate with their peers and professional staff members to solve complex problems related to student success, including helping current transfer and adult students navigate CTAS resources to maximize their success.
  • Innovator – Students will utilize available IU technology (Google docs, Zoom, Adrx, Canvas) to help ensure online or distance education students receive the same level of support and accessibility available to traditional or face-to-face students.
  • Community Contributor – Students will work with a diverse population of transfer and adult students, gaining knowledge of many social and cultural nuances that positively impact these students. Students will advocate for transfer and adult learners across campus as an ambassador for the Center for Transfer and Adult Students and our resources, programs, and policies, working closely with, Admissions, and the Office of Veteran and Military Personnel.
