With sustainability and conservation in mind, you will help prepare the agency for its transition to a new modern ERP system (One Washington Project) via data clean-up, paper and digital records clean-up, and other tasks as the project progresses.
This is an opportunity to provide project support primarily to the Chief Financial Officer in Financial Services Program (FSP) and the Administrative Assistant 4.
WHAT TO EXPECT
Among the varied range of responsibilities held within this role, this position will:
Project Support for the Chief Financial Officer (CFO) and Business Operations Coordinator (BOC), Program Administration, Fiscal, Budget, Licensing, Purchasing and Contracts.
- Activities including records management, digitizing records, program-training programs, assisting in facilitating or documenting processes, or assisting other lean projects.
- Projects may be performed independently, or in direct support of the CFO, BOC, Administrative Assistant 4, or other senior staff in FSP administration.
- First-line contact for agency staff and vendors. Responsible for responding timely and providing excellent and timely customer service.
Assist with workload spikes or backlogs.
- Assist the Administrative Assistant 4 with their support work, including scheduling, meeting preparation, archives, records management, processing invoices, event coordination, and other office support functions.
- Coordinates and assigns fiscal notes and bill analysis to subject matter experts, closely track status, and provide daily updates to Budget Office and Legislative Affairs.
- Works during session under guidance from Dep. Budget Officer and Legislative Coordinator.
- Reads bills for keywords, checks LobbyGov for bill analyses, and then assigns fiscal notes to program subject matter experts.
- Inventory management: organize and take stock of physical inventory.
- Coordinate surplus– posting available stock on SharePoint, sending a release of furniture and/or vehicle logs to Contracts & Purchasing.
Working Conditions:
Work setting: Work is performed in an office setting.
Schedule: 40 hours per week. Typically, Monday – Friday, 7:30 AM – 4:30 PM.
Travel requirements: Some travel may be required throughout the State to attend training, meetings, and conferences.
QUALIFICATIONS:
Required Qualifications:
High school diploma or GED.
License: Valid driver’s license.
Preferred Qualifications:
In addition to the required qualifications, our ideal applicant will possess some or all the following:
- Complete of at least one (1) quarter or one (1) semester of graduate work after receiving a Bachelor of Arts or a Bachelor of Science degree from an accredited college or university.
- Professional office experience.
- A strong interest in working with the administrative side of state work.
- Organizational skills, time management and self-management skills.
- Professional communication and interpersonal skills.
- Comprehensive working knowledge of Microsoft Word and Outlook to manage and track documents, reports, schedules, etc.
- Critical thinking and problem solving.
- Results-driven and self-starter.
- Ability to work with a wide range of individuals and communication styles.
