Starting Salary: $50,082$54,806 (starting salary may be up to $75,135 for experienced candidates with more than 5 years of experience)

About this Position

The Executive Assistant is a highly competent paraprofessional who assists the City Attorney and Legal Services staff in the delivery of legal services to the City Council, City Manager, public trusts, departments, and employees, while at all times respecting the highly confidential nature of the work.

The Executive Assistant performs general clerical and administrative work to ensure the department runs smoothly, stays organized, and meets all relevant deadlines. They are also the primary staff member responsible departmental budget and purchases, and they work with the Municipal Court and City Manager's staff, as necessary.

Responsibilities

  • Perform general clerical and administrative duties such as filing, mailing, ordering office supplies, tracking performance metrics, and maintaining calendars
  • Answer phone calls and route calls to the appropriate attorney
  • Assist the City prosecutor in preparing dockets for municipal court by checking driver eligibility in OLETS, printing police reports, printing/mailing subpoenas, and processing municipal court citations
  • Track and maintain active and closed files
  • Oversee the departmental files to ensure all documents are stored in the appropriate paper and/or electronic file
  • Prepare drafts of ordinances, resolutions, municipal court pleadings, letters, correspondence, and other documents as needed
  • Track deadlines for records of bankruptcy, probate, and expungement matters
  • Ensure documents are returned to the requesting party in a timely manner
  • Obtain certification from the Oklahoma Law Enforcement Telecommunication Systems (OLETS) three (3) months of hire date
  • Maintain privilege and confidentiality in all matters

Qualifications

  • General knowledge equivalent to two (2) years of college
  • 5 years of related experience and/or training
    • Or equivalent combination of education and experience
  • 12 to 18 months of management experience
    • People and/or project management
  • OLETS certification (preferred, can obtain within three months of hire date if not already obtained)
  • Valid Oklahoma Driver's License and a driving record acceptable to the City's insurance carrier

  • Ability to communicate directly and respectfully at all times
  • Ability to meet the required physical standards for this position
  • Ability to pass extensive background process and pre-employment drug and audio screenings
