Spring Lake Event Coordinator

The Meadows Center is seeking a student worker to become the Spring Lake Event Coordinator, which will help coordinate outreach events on and off-site as well as any special events that are hosted on-site at the Meadows Center for Water and the Environment. This position will have a key role in the planning of the Earth Day San Marcos Festival, which will be held at the Meadows Center April 19, 2025.

Qualifications 

Applicants must have work-study. Applicants must have superior interpersonal skills including dependability, responsibility, motivation, time management, organization, excellent attention to detail and the ability to follow directions. Experience with hosting events and working in an office is preferred.

 

General Description

Responsible for providing assistance to the Education Manager and Deputy Director of the Spring Lake Education Programs with the community outreach events that the center has planned, as well as helping coordinate events that are hosted at the venue. This position will work in the Spring Lake Booking Office and will help in the planning, scheduling, and staffing of the events. 

 

Schedule 

Applicants must be available 10-15 hours during the times of 8:00am -5:00pm Mon – Fri with a minimum of 3-hour blocks per scheduled shift.  Most outreach events are on the weekends or after hours. The employee will be expected to work most of the scheduled outreach events. Employees are able to work up to 25 hours a week. 

 

Job Requirements

  • Must be able to work 3-4 shifts per week, with the ability to cover events on the weekends or in the evenings
  • Must have experience working in an office setting
  • Must have great customer service skills, self-motivated, and a willingness to learn
  • Must be proficient in Word and Excel. Experience within Outlook is recommended.
  • Texas State Parking Pass is required if you plan to drive to work
  • Must have a reliable method of getting to work and outreach events that are located off-site

 

Job Duties

  • Booking/Creating confirmation paperwork for events and vendors for outreach events;
  • Working special events that occur onsite, which can include meetings, conferences, parties, and weddings;
  • Helping coordinate Earth Day San Marcos Festival including scheduling meetings, booking vendors, and day of coordination;
  • Developing newsletters, website updates, and informational email blasts;
  • Sending out reminder calls and emails for groups that are helping or hosting an event with our program;
  • Creating invoices for all outreach and special events (including refunds, billing, and payment receipts);
  • Assisting with front desk duties when needed: answering phone calls and assisting with events in our Conference Room;
  • Meaningfully contribute to completion of projects through independent work;
  • All other duties as assigned.

 

Location

Please note our location: http://www.meadowscenter.txstate.edu/About/Contact-Us.html. Students driving their vehicle to work must have a Texas State parking permit. Students without a vehicle must have a reliable method of getting to work. 

 

Employee Evaluation Process 

Employees will be evaluated on their work output and ethic. Employees will be required to attend all scheduled shifts unless prior communication has been made with their direct supervisor.  All employees are required to follow university policy and procedures.

 

Pay Rate Determination 

This pay rate of this position begins at $12. Experience and amount awarded through work study may result in a higher rate if deemed appropriate by the Spring Lake Management. 

 

Direct Supervisor 

This position is directly supervised by the the Deputy Director of Spring Lake Education.
