Administrative Support Specialist Intern
Position Summary
Our Administrative Support Specialist Intern at our public accounting firm is given a variety of accounting and general business assignments under supervision of a professional office setting. This is a paid, short-term internship position generally January – April, our high volume tax season. This position is an excellent opportunity for a student with administrative assistant or office management experience.
Essential Duties & Responsibilities
- Responsible for accurate and timely processing and communication with responsible preparers.
- Monitors tasks, projects to ensure all work completed in a timely manner.
- Attends various departmental meetings to support processes.
- Responsible for the upkeep of electronic and non-electronic documentation utilizing various, complex firm systems, programs.
- Performs scanning of client files.
- Performs various backup administrative responsibilities as needed, including possible light phone system coverage.
- Helps maintain neat, clean, and professional appearance of common areas
- Supports outgoing and incoming daily mail, as well as interoffice mail.
- Supports internal office event coordination as needed, including participating in meal coordination and preparation as necessary.
- Assists or has direct responsibility with greeting clients in the office and operating the phone system.
- Works as a team to determine staffing requirements/coverage for administrative support responsibilities, regulate office workflow and maintain a balanced workload of Administrative Support team with minimum overtime.
- Collaboratively works with other team members to promote a positive work environment through integrity, accountability, and teamwork.
Minimum Qualifications (Knowledge, Skills & Abilities)
- Current undergraduate student preferably sophomore or above working towards Associate’s Degree or Bachelor’s Degree, preferably in Accounting, Finance, or Business.
- Professional office experience in accounting, finance, or similar office setting preferred.
- Expert in MS Office (Excel, Word, Outlook) and office equipment.
- A collaborative team member willing to cross train, improve systems, and support others.
- Excellent communication skills including ability to create documents that are professional, grammatically correct, and well-written.
Physical Demands & Work Environment
- Ability to stand, sit, reach, stoop, bend, push, pull, kneel, use hands and fingers with a high manual dexterity, walk, talk, hear and see.
- Ability to operate a variety of machines and equipment including computer, office equipment, calculator, telephone, etc. Tasks may require extended periods of time sitting at a desk and working on a computer.
- Ability to lift or exert up to 10 pounds regularly and up to 20 pounds occasionally.
- Tasks are regularly performed in an office environment without exposure to adverse environmental conditions.
- Occasional same day travel for work and office errands (post office, bank, Petoskey office, etc.) using a personal vehicle.
- Occasional additional hours required throughout the year. Heavy additional hours required from January to April 15; may be in excess of 55 hours per week.
