Job Summary

 

The DNR is currently seeking to fill (1) permanent part-time 75% Office and Administrative Specialist, Intermediate position in Onamia, MN.  The hours are primarily 8:00am to 4:00pm.  The days of work vary and may work weekends and holidays.  

This position exists to provide administrative and technical duties in the administration of all state park operations.  This position will involve interaction with the public and working with other park staff to complete assigned tasks.  The nature of this work is to be environment and public service oriented.  This position will be focused on the operation of Mille Lacs Kathio State Park, but additionally will have responsibilities associated with Father Hennepin State Park, such as invoice processing and budget management. 

Responsibilities include:

  • Administrative: Provide office management functions and administrative assistance to Park Management, Retail Operations Supervisor, and other park staff.
  • Budget: Prepare all purchasing documents and process all payments for Father Hennepin and Mille Lacs Kathio State Parks from the Operations, Nature Store, Gift, Naturalist and other accounts to ensure accuracy without exceeding budget allocations and spending parameters established by the Park Manager. Keep Park Management informed on the status of various budgets and perform projections of expenditures.
  • Accounting: Monitor and/or accomplish all daily and weekly income reconciliation, reporting and preparation of bank deposits for the park. Preserve accountability for all vehicle permits, ski passes, and other numbered forms issued from central office.
  • Technology support: Provide support for phone, network, and computer systems. Help track status of park hardware, software, and network infrastructure.
  • Customer Service: Provide information and assistance to the general public on park operations. Register campers, sell vehicle permits, merchandise and other items, and administer reservation systems for picnic shelter use and implement Rec Dynamics campsite reservations.

Resource Management: Provide assistance with resource management tasks such as, tree planting/protection, population surveys, and prescribed fire work. 

Qualifications

 

Minimum Qualifications

  • Basic accounting skills sufficient to monitor and balance multiple budgets, grants, to ensure that spending is within budget and effectively recommend fund transfers; resolve discrepancies; review/verify financial records and prepare financial summaries and reports; enter and access information, identify and adjust for potential problems, etc.
  • Word processing and skills sufficient to use software to create, format, edit, print and save a variety of documents, including tables, charts and graphs, correspondence, and reports in an organized manner, grammatically correct, in proper format and free of spelling errors; create reports by combining and presenting data from multiple sources.
  • Knowledge of computer software applications sufficient to create spreadsheets from a variety of sources to enter, compile, store and retrieve data in a variety of reports; to use word processing, spreadsheets and other software applications to prepare reports and graphs to track projects and activities, to develop and/or modify electronic spreadsheets, to read source documents and enter data in specific fields, to sort and verify data accuracy before entering, to locate and correct date entry errors, to edit, code and correct documents, and to input data quickly and accurately.
  • Knowledge of customer service practices and principles sufficient to identify customer needs, meet quality standards for services and evaluate customer satisfaction; to provide prompt, courteous and accurate information to internal and external customers in person, by phone, e-mail or other written correspondence; to schedule and confirm appointments; to interpret and explain program information; to effectively communicate and elicit information with tact and diplomacy; to provide guidance to other employees on handling problems, etc.

  • Communication skills sufficient to perform the duties listed above, prepare written responses, present clear and concise explanations of governing rules and regulations, etc.
  • Ability to file and retrieve information based on content, using alphabetical filing practices.

Preferred Qualifications

  • Two (2) years general office experience performing mail merging, database management, project management, administrator for online database; creating, issuing, and processing permits; creating purchase orders, processing paperwork for items such as fleet, purchasing cards, expense reports; creating and editing reports that included graphs and tables, etc.
  • Experience using SWIFT.
  • Current Local Purchasing Authority certification. 
  • Experience with reservation / POS software (such as Rec Dynamics)
  • High level of organizational skills to facilitate management of many projects at one time. 
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel), Adobe Pro, Access and Visio.
  • File management skills, paper and electronic, sufficient to retrieve/provide documents and information when needed.
  • Experience editing documents for accessibility compliance.

  • No driving duties are required.
