Summary:

The Sales Assistant provides essential support to the mortgage operations team by managing the ordering, collection, and verification of third-party documentation critical to the mortgage loan process. This role involves extensive interaction with vendors and internal team members to ensure that all necessary documentation, such as appraisals, title work, payoff statements, and insurance certificates, is obtained and processed efficiently.

Responsibilities:

  • Represent the organization by delivering exceptional service and maintaining effective communication with internal teams.
  • Communicate professionally and clearly with vendors to facilitate the ordering and retrieval of third-party documentation.
  • Ensure that document ordering, retrieval, verification, and system updates are completed accurately and in accordance with internal deadlines.
  • Evaluate underwriting requirements for each document to ensure compliance with specifications.
  • Serve as the primary point of contact for third-party document ordering, fulfillment, and criteria evaluation.
  • Scan and upload documents into the Loan Origination System (Octane).
  • Collaborate closely with sales, transaction coordinators, underwriting, closing, funding, and management to ensure timely and accurate loan processing, adhering to corporate policies and legal requirements.
  • Meet deadlines and maintain high-quality standards.
  • Effectively manage multiple tasks and priorities.
  • Build and maintain strong professional relationships with colleagues.
  • Provide status updates and escalate issues promptly to address concerns related to third-party documentation delays.
