General Description:  This position is responsible for the coordination of various Community Care for the Elderly (CCE) lead agency reporting requirements as well as maintaining the data systems within the department. Other activities include reconciliation, copayment assessments, internal file monitoring, organization skills, research and report skills, managing public inquiries and project coordination. This position will also supervise and lead the Senior Services Case Aides. This position is grant funded.

Essential Job Functions:  Coordinates and monitors the activities of vendor(s) performing various services in accordance with contract guidelines, industry standards and/or state regulations. Documents work performed by Case Aides. Makes decisions to ensure that federal, state and local requirements are met in regards to (CCE) and reporting requirements. Knowledge and understanding inherent with the execution of budget documents, financial systems, and tracking systems. Prepares and tracks the daily reconciliation of services provided to clients and financial co-payments received. Process authorizations and assist with resolving service delivery issues as needed. Assists with the initial client intake and assessment process. Maintains files, completes reports, and assembles payroll records. Sets up and maintains files and updates actions on department computer database. Assembles information for supervisor's use. Assists with customer inquiries and with office assignments. Participates in process improvement initiatives. Performs related work as required. 

Knowledge, Skills and Abilities:  

  • Knowledge of business English, spelling, and punctuation.
  • Strong communication and reading comprehension skills.
  • Knowledge of modern techniques and practices used for procuring and monitoring contracted service Contractors.
  • Knowledge of office practices, procedures, principles of organization and administration.
  • Knowledge of accounting methodology.
  • Ability to email, compose letters and memoranda.
  • Ability to make decisions in accordance with the departmental rules, contracts, regulations, and policies.
  • Ability to establish and maintain effective working relationships with employees, Utilities management, and vendors.
  • Knowledge of Utility systems components, operations protocol, and invoice reconciliation.
  • Ability to establish and maintain effective working relationships with coworkers, contractors, and regulatory authorities.
  • Ability to operate a computer, a working knowledge of Windows based programs, Outlook, Microsoft Office Word, Excel, Access, and Tyler Munis.

Minimum Requirements:

PHYSICAL SKILLS: Ability to communicate effectively using verbal, written and visual communication. Ability to operate a motor vehicle. 

EDUCATION, TRAINING AND EXPERIENCE: Graduation from an accredited college or university with an Associate degree and four (4) years' of project coordination/management experience OR graduation from high school or possession of an acceptable equivalency diploma and six (6) years' experience. Experience with contract documents and follow up requirements preferred. 

In House Candidates: This position qualifies for DAP. 

LICENSES, CERTIFICATIONS OR REGISTRATIONS: Must possess a valid Florida driver's license.
