Organizational Administrative Assistant

Position located near IUPUI Campus! (position is part of the Community Work-study program at IUPUI)

Position Title: Organizational Administrative Assistant

Department: Operations

Reports to: Executive Director

Hours Per Week: Approximately 10

Hourly Pay: $15

Desired Start Date: 9/1/2022

Number of Openings: 2

The Organizational Administrative Assistant intern will support Kheprw Institute’s Program

Director, Executive Director and other Kheprw staff by helping to coordinate communications, scheduling, internal and external collaborations.

Supervisory Responsibilities: None

Responsibilities and Duties

● 80% Administrative Support - Provides administrative support to ensure efficient

operation of the organization. Reads and prioritizes emails that need responses and

schedules meetings. Carries out administrative duties such as typing, document

creation, etc. Completes operational requirements by scheduling and assigning

administrative projects and expediting work results. Exhibits polite and professional

communication via phone, e-mail, and mail. Supports team by performing tasks related

to organization and strong communication.

● 20% Team Meetings & Checkins - Attend team meetings and checkins to report on

activities and set and discuss progress on team goals.

Required Skills & Abilities

● Organized and prompt/consistent communication

● Intermediate proficiency in the use of computer programs, apps, etc.

● Customer and community service orientation

● Strong verbal and written communications skills -- Grammar, spelling

● Attention to detail

● Ability to communicate effectively in collaborative discussions with team and with clients

● Willing to learn, a curious mind

● Commitment to excellence

Preferred Skills

● Experience using Gmail, Google Docs, Microsoft Office

● Experience with Adobe Acrobat PDFs

Experience:

● One year experience in internship, job or equivalent coursework that required

communication and organizational skills.

Student Learning Experience Through work in this position, the student may build skills in

Communicator - Communication is the primary focus of this internship. The student will be asked to effectively communicate with clients/residents.

Innovator – We encourage our interns to ask questions and be curious. While we will have existing processes for the student to follow, we welcome new ideas and improvements on how to make our program more effective.

Community Contributor – The student will gain knowledge about other cultures and perspectives through interacting with members of the staff and community.
