Job Summary:

 

This recruitment will be used to fill one full-time Office Specialist 2 position for the Division of Extension and Engagement’s Extension Klamath County Office at Oregon State University (OSU ).

 

This Office Specialist 2 (OS2) position is based at the Oregon State University Division of Extension and Engagement’s (division) Extension Service Klamath County Office in Klamath Falls, Oregon. The mission of OSU Extension Service is to engage the people of Oregon with research-based knowledge and education that strengthen communities and economies, sustain natural resources, and promote healthy families and individuals.

 

As a team member, this OS2 provides general, marketing, and technical support for the OSU Extension Klamath County office as assigned. This includes providing excellent and empathetic customer service while engaging in culturally appropriate and inclusive communication. The OS2 must know all facets of the OSU Extension Klamath County Office and is expected to independently organize and prioritize a demanding and complex workload, monitor progress, and adapt to changing needs. In addition, this OS2 should have general knowledge of database management, web-based software programs, and web contents maintenance software and be proficient with computer software such as or similar to Microsoft Office Suite.

Key Responsibilities

 

45% – General Office Support

 

• Provides backup support and other assigned support tasks for the OSU Extension Klamath County Office.

• Assists with answering telephones, screening and directing calls, and taking messages. Assists callers and office visitors by providing accurate information and referring to appropriate personnel. This includes communicating with individuals who have varying backgrounds and communication styles.

• Assists other office support personnel and Administrative Office Manager as needed.

• Serves as Front Office resource for Extension equipment.

• Assists with providing support for the educational programs.

• Assists with processing travel reimbursements and other financial transactions as needed.

 

50% – Marketing Support

 

• Utilizes OSU’s content management system to provide support and maintain the OSU Extension Klamath County webpages and social media by keeping the contents updated, current and user-friendly, working with the appropriate OSU departments, including the division’s Communications and Marketing unit, as needed.

• Manages the contents of the Extension webpage/Facebook and other digital marketing media.

• Provides digital marketing, including script editing.

• Attends OSU Extension Klamath County and community partner events as assigned to capture marketing and promotional images and video. Travel/driving will be required.

• Supports remote workshop programming, including video editing.

• Develops culturally inclusive and socially cognizant materials that ensure communication to a broad and diverse audience, as part of the Klamath team.

• Ensures diversity of images, identities and perspectives represented in photos, artwork, and printed materials, working with the OSU division’s Access, Compliance, and Inclusive Innovation unit.

• Ensures the accessibility of marketing materials, including language access and formats.

• Provides live stream assistance and operates the audiovisual equipment.

• Coordinates radio advertisements and digital marketing promotions, including scheduling.

• Coordinates Klamath County Extension Newsletter, including curating content, development of subscription base, and delivery of digital newsletter.

• Follow OSU and division brand guidelines, digital publishing standards and digital contact management data integrity practices for programmatic communications, marketing and engagement.

 

5% – Other Duties

 

• Performs other duties as assigned by the Administrative Office Manager or Regional Director.

• Attends training opportunities to build basic knowledge and consistent skills to use digital communications, marketing and engagement technologies to assist program faculty as relevant to position duties.

• Participates in professional development programs aimed at serving broad and diverse populations, particularly those that have been historically underserved.

• Assists the Administrative Office Manager with ensuring a safe, welcoming, and respectful environment for all Extension and Engagement constituents and clients.

• Provides excellence and empathetic customer service while engaging in culturally appropriate and inclusive communication for all.

 

What You Will Need

 

• Experience with website content editing.

• Excellent customer service skills to broad and diverse groups with varying backgrounds.

• Detail oriented.

• Experience with record keeping.

• Proficient in using networked computers, including software such as or similar to Microsoft Office Suite and spreadsheets.

• General knowledge and ability to use computers, including proficiency with information technology, professional office software and collaborative work platforms.

• Ability to learn and adapt to using multiple forms of digital communication systems, including websites, email newsletters, social media, and other tools in a changing technological environment.

• Ability to work independently with minimal supervision.

• Ability to make independent decisions and recommendations that align with policies, rules, and procedures.

• Ability to engage and communicate successfully and inclusively, both in writing and verbally, with a broad and diverse audience in a culturally responsible manner.

• Ability to maintain confidentiality and professionalism.

• Ability to work as a collaborative member of a team.

 

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

 

This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.

 

What We Would Like You to Have


 

• Bilingual (English and Spanish) and Bicultural. Demonstrated ability to engage Spanish-speaking audiences through the utilization of bi-literate and bicultural skills.

• Ability to incorporate use of web, social media, newsletter or other digital technologies in program development or outreach activities.

• Ability to serve as a resource person.

• An understanding of information technology such as computer hardware, software, peripherals, IT devices, and software installations/upgrades to coordinate those with OSU Information Technology for off-campus locations.

 

Working Conditions / Work Schedule

 

• Ability to lift and move 50 pounds or more of equipment and educational materials.

• Ability to work in environments where livestock and animals are present, including outdoor and indoor settings.

• Ability/access to travel to attend events related to marketing assignment of this position.
