IT Project Coordinator

Position Summary:

We are currently seeking an IT Project Coordinator (PC) in Dallas. TX to join our growing Enterprise Project Management Office (EPMO) which plays a pivotal role in supporting the successful delivery and management of projects in the Initiation and Planning phases. This position ensures meticulous project documentation, timely updates, and effective coordination of project-related activities. The PC supports the EPMO Director, EPMO Project Managers, and project teams, facilitating smooth communication and streamlined processes.

Responsibilities:

  • Documentation Management:
    • Update project documents based on meeting outcomes, ensuring accuracy and completeness.
    • Maintain and organize project-related files, ensuring easy access and version control.
    • Prepare project and vendor review documentation, summarizing key project metrics and achievements.
  • Tool Maintenance:
    • Keep project management tools up to date, including project plans, schedules, risks, and resource allocation.
    • Build and maintain templates and reporting dashboards in project-planning tools; assist Associate and provide training as needed.
  • Meeting Support:
    • Assist in organizing project-related meetings, including, preparing agendas, and documenting meeting minutes.
    • Collaborate with team members to schedule and coordinate project reviews and approvals.
  • Stakeholder Communication:
    • Facilitate communication between project teams, stakeholders, and the EPMO team.
    • Ensure stakeholders are informed about project progress, milestones, and potential roadblocks.
  • Quality Assurance:
    • Conduct regular checks on project documentation to ensure consistency, completeness, and compliance with EPMO standards.
    • Collaborate with team members to identify and rectify any discrepancies or gaps in project documentation.

 

Required Skills/Abilities:

  • Attention to Detail: Strong attention to detail to track and maintain project documentation and records accurately and consistently.  
  • Communication Skills: Excellent verbal and written communication skills for effective interaction with team members and company leaders.
  • Organizational Skills: Exceptional organizational abilities to maintain structured project documentation and schedules.
  • Technical Proficiency: Familiarity with project management tools, Excel, Outlook, and PowerPoint; ability to adapt and learn new software quickly.
  • Collaborative Spirit: Ability to work collaboratively in a team environment and facilitate smooth communication with a “can-do” spirit. 
  • Adaptability: Capacity to adapt to changing project requirements and priorities while ensuring consistency and quality in work.
  • Problem-Solving: Strong problem-solving skills to identify issues in project documentation and propose solutions.

 

Education and Experience:

  • Bachelor’s degree in business administration, management information systems, or a related field preferred.
  • Experience working with MS Office365 required. 
  • Project manager training and certification is a plus.
  • Experience in collaborating with project teams and assisting in the management of multiple projects.
  • Familiarity with project management methodologies and tools.
  • Exposure to portfolio or program management is advantageous.
