Job Summary:
University Relations and Marketing is seeking an Events Manager. This is a full-time (1.00 FTE ), 12-month, professional faculty position.
University Relations and Marketing Solutions and Services team provides a variety of marketing and event services to organizations throughout Oregon State University. The events manager will manage the day-to-day operations of the event and conference operations within URMSS . This position will provide subject matter expertise on the planning and execution of a wide variety of on and off campus events and conferences, ensuring effective, efficient workflow, adherence to policy and standards and a high level of client satisfaction. The events manager will manage a team of event and conference coordinators and work with leadership to develop budgets and marketing plans to ensure proper service and growth levels.

Key Responsibilities
70% Event Management Develop, execute, and evaluate the operation plans for event and conference planning teams, including management of event budgets, equipment, and procedures that ensure efficiency, safety and quality standards for a wide variety of events at multiple on and off campus locations.
• Works with administrative team to ensure all costs and fees associated with events are properly accounted for and billed in a timely manner.
• Works with client relations staff, event and conference staff to attract and manage bookings and event logistics by collaborating with university faculty, administrators, committees and external clients to ensure successful execution of conferences and events.
• Responsible for negotiating and contracting venue rentals and overseeing venue contracting. Supports arrangements and negotiations for multi-facility events.
• Create and develop concepts for new events and works with creative team on the development of event-related printed materials, invitations, ticketing, marketing plans, registration forms and web pages.
• Writes and/or directs development of program content, formats and scripts for events as needed.
• Works with clients to achieve event goals and objectives. Executes or delegates execution to event staff.
• Negotiates contracts with external and internal vendors to assure high-quality and cost-effective services and addresses any special requests.
• Monitors and evaluates the performance of contracted vendors in regards to events, facilities and conferences.
• Ensures compliance with University policies, state and federal laws and regulations, contractual agreements and industry standards.
20% Supervision
• Create and implement training for event, client relations and conference staff ensuring procedures and policies are clear and followed.
• Supervision of staff positions including plan, assign and approve work; rewards/discipline; respond to grievances; hire/fire (or effectively recommend); prepare and sign performance evaluations/reviews
10% Other duties as assigned
What You Will Need
• Bachelor’s degree in field related to assigned responsibilities or an equivalent combination of education and experience to perform the primary duties of the position.
• 3 years of experience in lead work or management in event or conference services.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.
