Job Summary:

 

The Office of the Registrar is seeking a Coordinator – Project Portfolio. This is a full-time (1.00 FTE ), 12-month, professional faculty position.

The Coordinator – Project Portfolio is a key member of the Projects and Communications team, responsible for managing administrative tasks related to ongoing projects within the Office of the Registrar. This role involves planning, coordination, data compilation and timely execution of tasks to maintain project timelines. Key responsibilities include: Collaboration and communication for building and maintaining strong partnerships across the institution by using effective communication; Coordination and execution of tasks related to project deadlines including arranging project meetings with appropriate stakeholders and collecting important details regarding project objectives; Data analysis and reporting required to research and analyze project-related data, prepare reports and create project-related documentation; Adaptability and flexibility is required for success in this position. The ability to pivot quickly, handle ambiguity and remain flexible in a fast-paced environment.

 

The Coordinator – Project Portfolio works closely with project managers, Office of the Registrar leadership and representatives from various university departments. The day-to-day responsibilities ensure smooth project operations and successful outcomes within the Office of the Registrar. The Coordinator will contribute to the diversity, equity and inclusion efforts that are outlined in OSU’s Diversity Action Plan which have the goal to expand access to higher education, solve problems through research and innovation, and enhance prosperity for every community across the state, and by extension the nation and world.

What You Will Need

 

• Bachelor’s degree in communication, administration, management or related field.

• Three years of experience providing project planning and coordination for a program or office.

• Effective written and verbal communication skills, reaching audiences of differing technical and functional backgrounds

• Demonstrate effectiveness in collaborating, communicating, and building relationships as a team member and with stakeholders who have various identities, cultural backgrounds, communication styles and expectations.

• Experience managing deadlines and prioritizing multiple assignments with attention to detail, often on tight timelines and under pressures.

• Ability to analyze complex issues and situations, identify alternative solutions, forecast consequences and recommend effective courses of action

• Ability to work within an environment where ambiguity and the ability to pivot quickly are commonplace

• Demonstrated leadership with ability to take initiative and work independently

• Proficiency using Microsoft Office Suite or other similar applications

 

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

 

What We Would Like You to Have


 

• Professional experience in higher education

• Experience working in a Registrar’s office

• Experience creating and presenting training materials, process maps, summary reports or visuals of data analysis findings

• Project management, Lean Six Sigma, or Business Analysis education or experience

 

Working Conditions / Work Schedule

 

This position works within a professional office environment with standard business hours (8 am to 5 pm weekdays). Due to University and office deadlines, this role involves handling heavy volume and fluctuating workloads during specific times of the term and year. The coordination and training function require working with a diverse population, accommodating different backgrounds, temperaments and work styles while maintaining equity, courtesy and professionalism.
