Administrative Support Assistant

The STEM Education Innovation & Research Institute (SEIRI) seeks an IU Indianapolis student to provide administrative support.

Essential Responsibilities

·        Front-desk coverage – greet visitors, answer calls and emails.

·        Administrative support – schedule rooms, stock printers and copiers, make copies, update databases, mail merge letters and labels, prepare nametags, support set-up and tear-down for meetings and events, draft print-programs, edit audio recordings in Adobe Audition, edit videos in Kaltura, etc.

·        Other tasks as assigned.

Education and Experience

Applicants must be current IU Indianapolis students be work-study. Prior experience working in a general office environment a plus (but not required). Must be detail-oriented and able to work independently. Must possess good decision-making and communication skills. Must demonstrate attention to punctuality, an excellent customer-service approach, and professional demeanor.

Qualifications

·     Critical thinking skills

·     Ability to concentrate in a busy office environment with distractions and interruptions

·     Detail-oriented

·     Working knowledge of computers and Microsoft Office Suite (including Word, Excel, and Outlook).

·     Team-focused attitude

·     Dependable and able to manage confidential and sensitive information in a professional manner

·     Excellent written and verbal communication skills

·     Creativity and skills in utilizing software to streamline tasks are a plus

Software and Equipment

Software: Microsoft Excel, Word, Outlook, Adobe Acrobat, Teams, Qualtrics, Project and Web Content Management

Equipment: Computer, Copier, Scanner, Printer, Video-conferencing Technology

This position is in-person and up to 15 hours per week during the current academic year, with the possibility to extend the position timeline based on performance and needs of the office. Our business hours are from Monday through Friday, from 8:30 a.m. to 5:00 p.m.
