Front Office Coordinator

FRONT OFFICE COORDINATOR 

POSITION DESCRIPTION Charity Cares Inc. and Charity Cares Early Academy is a faith-based nonprofit organization dedicated to providing high-quality early childhood education and support services to under-resourced families. We prioritize creating a safe, nurturing, and inclusive environment for all children and their families.  

Our internships provide an opportunity for students to gain quality experiences in a community-based setting supporting children and families of diverse cultural and socio-economic backgrounds. Students will be actively engaged with Charity’s staff, children, and families through experiential, work-based learning.  

We are seeking a motivated and organized Front Office Coordinator to join our team. The Front Office Coordinator will play a key role in ensuring smooth operations of our front desk, providing excellent customer service to families, staff, and visitors. We provide an opportunity for intern students to implement professional skills and talents, exude positive energy, and gain holistic feedback. 

POSITION RESPONSIBILITIES 

Greet and assist families, children, and visitors in a friendly and professional manner. 

Manage phone calls, including answering inquiries, directing calls, and taking messages. 

Ensure proper check-in and check-out procedures. 

Assist in scheduling and coordinating appointments and meetings. 

Support administrative tasks, such as filing, data entry, and managing correspondence. 

Help maintain a clean and organized front desk area. 

Provide information about our programs and services to families and visitors. 

Assist in the preparation and distribution of newsletters, flyers, and other communications. 

Maintain confidentiality within families and other staff members. 

Participate in staff meetings and professional development opportunities. 

Handle sensitive information with confidentiality and professionalism. 

Additional duties as deemed necessary to maintain the overall success of Charity. 

 

POSITION QUALIFICATIONS Our organization operates within the confines of all governing agencies. For this position, students who most closely match the following criteria will be considered for employment: 

Currently enrolled in a relevant program – e.g. Business Administration, Hospitality Management, Early Childhood Education, Social and/or Human Services. 

Strong organizational and multi-tasking skills. 

Excellent verbal and written communication skills. 

Proficiency in Microsoft Office Suite (Word, Excel, Outlook). 

Ability to operate in other software systems and applications with training. 

Ability to work well in a team and independently. 

Friendly, welcoming, and professional demeanor. 

Previous front facing customer service experience is a plus. 

Complete the required professional development commitment of 24 hours annually. 

Possess the ability, competence, and knowledge to implement program regulations. 

Respect and love for children and their families. 

Maintain a disposition to work positively within a team. 

POSITION SKILLS GAINED Participating students will increase their future employability through skills gained in our environment. Students will learn to manage health services in a preschool setting, provide early care and health education to young children, and assist with the organization of health records and resources in ways that promote a safe and healthy environment that supports child safety and well-being. Charity is a fast-paced environment that requires attentiveness and care. The skill most gained from this learning experience is direct support to young children and their families. Additional skills include:
