University Housing Student Purchasing Assistant

  • Assist in the fiscal management and purchasing of supplies for University Housing, including shopping at local retailers or through approved vendors, reconciling receipts from staff purchases, updating the budget spreadsheets, and collaborating with all units within University Housing to meet their programmatic needs.
  • Provide clerical and administrative support to the Accounts Manager and University Housing full time staff, including filing, double-checks, scanning, data entry, answering telephones, e-mail, and in-person inquiries from residents, parents, venders, or stakeholders.
  • Support the development of academic initiatives within University Housing, especially related to clerical and purchasing tasks, or staff support roles as needs arise.
  • Provide inventory control, supply and equipment recommendations, routine cleaning/organization and re-stocking for all Residence Life Resource Rooms and programming supply closets. Work with Residence Life to ensure needed supplies are purchased and delivered before the start of each semester.
  • Follow state and institutional purchasing guidelines. This includes using state dollars appropriately and being a good steward of fund usage.
  • Provide strong customer service to internal and external stakeholders of University Housing.
  • Work in efforts to support the University Housing mission and the best interest of the residents.
  • Maintain a positive attitude toward students, staff, and University Housing.
  • Act as a role model for students and staff by demonstrating qualities of leadership, responsibility, and maturity.
  • Alert supervisor of any issues or potential problems.
  • Meet with supervisor minimally on an every other week basis; these meetings provide informal feedback and provide direction on tasks.
  • Complete other special projects as needed.

Qualifications

  • Retain (at minimum) part-time status as a student at UWM (fall and spring semesters)
  • Maintain a cumulative GPA of 2.0
  • Have a valid Driver’s License for a minimum of 2 years and pass the University’s Driver’s authorization check.
  • Willingness to accept new responsibilities and challenges while learning the position.
  • Fluent in Microsoft Office (Word, Excel, and Publisher).
  • Flexible schedule and ability to work during office hours Monday through Friday, 8:00am to 5:00pm.
  • Must be able to work an average of 10-20 hours per week during school year and up to 40 hours per week during summer break periods.
  • Previous housing, administrative duties and general accounting experience is preferred.
