Administrative Associate

OVERVIEW

Bedford Audubon seeks a dynamic team player to serve as a part-time Administrative Associate. The role’s function will be to support Bedford Audubon’s overall office financial and development activities.

THE ROLE

The Administrative Associate reports to the Board President and works from Bedford Audubon’s office in Katonah, NY. The ideal candidate will be outgoing, organized, flexible, enjoy working with the public, and have a strong interest in nature, birds, and the environment. The role requires an ability to multitask, shift gears easily, and pitch in where needed. Specific tasks include:

Development:

  • Managing the organization’s Bloomerang donor and volunteer database.  Previous experience with Customer Relationship Management (CRM) software is very desirable.
  • Executing appeals and other donor communications. Processing development reports and analysis for the Board Development Committee and project and grant reporting for donors.
  • Engaging in email, telephone, and in-person communication with members and donors.
  • Assisting in the setting up and running of donor and member events.
  • Conducting on-line donor research.

Administrative:

  • Answering phones and in-person inquiries at the office.
  • Managing office and property supplies needs.
  • Interfacing with our accountant to maintain QuickBooks.
  • Organizing and maintaining electronic files in Bedford Audubon’s cloud server.
  • Organizing and maintaining paper files at Bedford Audubon’s office.
  • Helping prepare monthly committee and board meeting materials.
  • Assisting the Board Finance Committee in preparation of Bedford Audubon’s annual nonprofit accounting review and other mandated reporting procedures.

DETAILS

  • $25.00-$30.00 per hour
  • 20 hours per week, schedule can be set to fit time constraints. Must be flexible with some evenings/weekends required.
  • At least one year experience in a similar nonprofit role preferred. Previous experience with QuickBooks and at least one CRM system preferred.
  • Bachelor's degree preferred.
  • Ability to lift at least 30 lbs.

Established in 1913, Bedford Audubon is one of the oldest National Audubon chapters in the country. It is headquartered at Bylane Farm, an historic 1700’s farmhouse located in Katonah, New York. Bedford Audubon owns and manages three nearby sanctuaries comprised of over 600 acres of forest, wetlands, scrubland, and meadows along with 12 miles of hiking trails.
