Position Summary
Assist the office of Advancement Services in daily activities including entering and correcting constituent addresses, employment information, family connections, alumni and campus activities into the Raiser’s Edge (RE) advancement database. Ensure that those records are complete, current and accurate. Create and maintain electronic files on individuals and assure that all biographical records are accurate and up to date following CASE, FERPA, IRS and PCI Compliance guidelines.
JOB REQUIREMENTS
- Enter new and updated addresses, phone numbers, business titles, company information, marriage/partner status relationships, etc. into the computer database to keep constituent records up to date.
- Code constituents on RE for various projects (tenure review, activities, philanthropic codes, etc.).
- Obtain information from email software to update RE records.
- Review media alerts on prospects.
- Document Imaging – remove unnecessary paper from deceased biographical files following set procedure. Image all remaining documents by scanning and saving to a shared folder on the N:/drive following procedure.
- Deliver and pick up materials on campus.
- Assist with the annual creation of first year student and parent records by transferring Admissions application information into RE. Conduct research on missing information for completeness. Flag any important relationships, etc. Research on-line sources and the internet for occupation information on parents of first year students. Enter new and updated addresses, phone numbers, business titles, company information, marriage/partner status relationships, etc. into the computer database to keep constituent records up to date.
QUALIFICATIONS:
- Computer literate
- Is able to work with a team and can also work diligently independently
- The applicant should be a current work study HWS student.

Other Information: This position is for up to ten hours a week during the school year (August – May) including December/January break and/or twenty hours a week during the summer schedule (May – August). There are no benefits. Applicants will be asked to sign a confidentiality agreement.
