Employee Status:  Full-time, Temporary (4 to 10 months), Non-Exempt

Primary Work Location:  La Jolla

Pay Range:  $20.55 – $21.63

JOB SUMMARY:   Provide clerical and administrative support in multiple areas of Human Resources. Support mission and vision of Museum throughout performance of duties.   

 

ESSENTIAL FUNCTIONS: 

  • Provide clerical and administrative support for talent acquisition efforts, including postings jobs; ensuring receipt of required documentation for interview kits; preparing and sending offer letters; coordinating and tracking new employee onboarding and orientations; and updating databases, staff lists, and org charts. 
  • Provide clerical and administrative support for HRIS maintenance and other departmental databases.
  • Provided clerical and administrative support for terminating employees, including preparing HR exit forms; terminating employees within various systems; and updating staff lists, org charts, and databases.
  • Organize and maintain all electronic and hardcopy personnel and HR related files and ensure files are organized, properly documented, and compliant.  Audit files as needed.
  • Administer coordination of L&D and LMS platform.
  • Create and distribute various HR reports for internal stakeholders.
  • HR liaison and business partner with the Inclusion, Diversity, Equity, and Accessibility (IDEA) team and the Employee Experience and Engagement (E.X.E.) team.
  • Provide clerical and administrative support in all other areas of HR as assigned.
  • Ensure a safe work environment through knowledge of and adherence to safety policies and procedures. 
  • Other duties as assigned.

 

KNOWLEDGE, SKILLS, AND EXPERIENCE:   Strong attention to detail and follow-through skills.  Strong interpersonal and verbal and written communication skills.  Strong professional demeanor.  Ability to handle sensitive and confidential matters and information and be discreet and tactful in all situations.  Knowledge of HR regulatory compliance, wage and hour compliance, and labor laws.  Ability to work independently and in a team environment.  Strong technical skills and proficiency in MS Office, Paychex Flex payroll and HRIS preferred.  Bachelor’s degree and one year recent, relevant experience or any equivalent education and experience.  Human Resources certification preferred.   Experience and/or education in supporting and fostering DEI culture and/or initiatives.
