Position Title: Program Assistant

Department: Nutrition & Aging Care Services
Position Type: Full-Time (37.5+ hours/week), Non-Exempt
Work Setting: Onsite (potential for hybrid)
Reports To: Senior Director of Nutrition & Aging
Pay Range: $19.23- $23/hour

Position Overview:
JFS is looking for a compassionate, mission-driven individual to join the Aging and Nutrition Division team as the Program Assistant. In this role, you have the opportunity to use your organizational skills and office experience to make a meaningful difference in your community and help change lives across San Diego. The program assistant plays an integral role on the team and supports the entire agency by supporting the Senior Director of Aging and Nutrition and four directors with invoicing, meeting coordination, mileage reimbursement and assisting when programs as needed. This position works a variety of staff to ensure timeliness of tasks.
Responsibilities:
- Submit invoices for payment into accounting portal
- Establish a process for reviewing program budgets with Directors monthly
- Assist programs with procurement needs
- Provide monitoring of program contract milestones and reporting requirements
- Support research and analysis requests from Directors
- Facilitate scheduled Zoom meetings weekly
- Schedule meetings as necessary
- Attend meetings and take minutes
- Fulfill administrative work for Directors and programs as needed
- Assist in the Corner Market, weekly Drive Thru and Kitchen as needed
- Analyze current processes and provide input about streamlining
- Other duties as assigned by Directors
Skills/Experience/Abilities That Are a Must-Have:
- Must have a valid CA driver's license, insurance, a reliable personal vehicle, and a willingness to travel off-site
- Exceptional strategic, analytical, and critical thinking abilities
- Strong verbal and written communication skills
- Creative, innovative thinker who embraces new ways of approaching planning, challenges, and opportunities; willing to challenge the status quo; adaptable and flexible in thinking and execution
- Organization, time management, and prioritization abilities
- Experience with management of processes and systems
Skills/Abilities We’d Like You to Have:
- Bachelor’s degree preferred
- At least one year of experience working in an office support role to a team of staff
Physical Requirements:
- Lift up to 20 lbs
