Nursing Home Fiscal Technician - Resident Funds

GENERAL PURPOSE
The Nursing Home Fiscal Technician - Resident Funds position is responsible for performing a variety of administrative and professional work in the billing specialty.  The individual in this position independently prepares, carries out, and takes definitive action regarding processes and functions that are integral parts of the department’s mission. Works with County and Gracedale Administrative personnel, residents, family members, appointed representatives, and others such as insurance carriers, vendors, attorneys, and/or bank personnel. Provides information and explains the need for different or additional information, action or assistance. Maintains confidentiality and/or control of these and related records. Work includes duties in the area of clerical accounting, which requires specialized knowledge above that of a general clerical position.

SUPERVISION RECEIVED
This position reports directly to the Business Office Manager.
    
SUPERVISION EXERCISED
This position is not responsible for the supervision of other employees.  
     
ESSENTIAL DUTIES OF THE POSITION
Prepares and creates bank deposit batches in software system.

Maintains and reconciles resident personal trust accounts and makes required deposits and disbursements.

Imports and posts cash receipts payments and reoccurring daily/weekly/monthly items in software system to the proper billing period.

Operates resident bank for deposits and withdrawals of personal funds.

Distributes personal funds to residents on floors.

Researches and resolves issues with receipt of resident income and/or pensions.

Coordinates deposits of social security and pension benefit payments.

Prepares, tracks and processes payments for resident insurance premiums and various other expense.

Reconciles resident fund trust accounts upon discharge of resident.

Prepares the timely release of personal funds balances upon discharge to appropriate party per state regulations.

Reports admissions and discharges to Social Security as required.

Participates in family meetings to discuss resident finances.

Maintains spreadsheets as required.

Participates in annual audit process.

Coordinates with other internal and external departments to ensure all proper forms of payments to the facility are being pursued.

Answers telephone and receives visitors to office. Provides exceptional customer service by effectively communicating with visitors by telephone, email, or in person. Adequately resolves visitors' issues, or directs visitors to appropriate staff able to provide assistance.

Interacts with Gracedale Administration and County management, other employees, vendors, family members, residents, and appointed representatives on a regular basis in order to provide the highest level of customer service.

Possesses excellent communication and interpersonal skills with the ability to listen effectively, respond appropriately, and maintain a mutual comfort level while relating to a diverse population.

Assumes responsibility and takes independent action on areas of specialization and/or assigned function area. Performs assigned functions according to specified time schedule.

Performs other billing department tasks of comparable difficulty and responsibility on a regular basis.

Performs all job duties with a friendly, positive, and team oriented approach.

Works as a team with other departments to maximize efficiency and productivity. Supports facility and department goals.

REQUIRED MINIMUM QUALIFICATIONS

EDUCATION & EXPERIENCE – Completion of a high school or general equivalency diploma; AND

At least two (2) years of medical office experience which must include experience with medical billing; OR

At least two (2) years of legal office experience, preferably in the elder care specialty.

OTHER REQUIREMENTS - Applicants must be fully vaccinated against COVID-19, and present valid proof of vaccinated status, in order to be eligible for hire at Gracedale Nursing Home. According to the Centers for Disease Control (CDC), people are considered fully vaccinated two (2) weeks after their second dose in a 2-dose series (such as Pfizer or Moderna vaccines), or two (2) weeks after a single-dose vaccine (such as Johnson & Johnson’s Janssen vaccine). 
 
Upon hire employee must have a drug screening and COVID-19 testing. Employees may also be periodically tested for COVID-19 as required or recommended. In addition, Gracedale Nursing Home will follow The Centers for Medicare & Medicaid Services (CMS) requirements with regard to booster(s) needed for workers in health care settings.

Excellent time management, prioritization, and multitasking skills, along with the ability to maintain sufficient flexibility to respond to immediate demands.

Ability to learn and interpret rules, regulations, policies, and procedures and apply accordingly.

Ability to operate a personal computer and secure information from established data processing applications. Ability to create and manipulate Excel spreadsheets and formulas.

Ability to preserve confidential information.

Ability to maintain composure and tactfully handle sensitive situations.

Maintains the enthusiasm necessary to provide top notch customer service to both internal and external customers.

Ability to establish and maintain effective working relationships with associates, callers, visitors, clients, the public, and representatives of other offices.

Ability to read, write, speak, understand, and communicate in English to perform the duties of this position.

TOOLS AND EQUIPMENT
Telephone, personal computer (including word processing and spreadsheet software), calculator, fax machine, copy machine, and paper shredder.

PHYSICAL DEMANDS
While performing the duties of this job, the employee is frequently required to walk, sit, talk, or hear.  

The employee must occasionally lift and/or move up to twenty-five (25) pounds.
