Special Events and Volunteer Boards Intern

REPORTS TO: Director of Volunteer Boards and Special Events

TERM: Fall 2024 (Sept-Dec)

HOURS: 14-21 hours per week (In-Office)

The Special Events and Volunteer Boards Intern will work closely with the Development department, specifically the Volunteer Boards and Special Events team. This position will assist with the annual Season Opening Gala in early October, with donor events, and general administrative work. Other projects include updating Tessitura records, and coordinating Board calendars for the season. This intern will also help organize physical files from past galas and events. The Special Events and Volunteer Boards Intern will gain Board relations experience in on-site assistance at donor events, Board meetings, and activities.

 

 DUTIES AND RESPONSIBILITIES: 

  • Assist with the preparation and mailing of invitations for Donor Events and Galas.
  • Onsite logistical support during Board meetings and events in the fall, including meetings for the Board of Directors, Women's Board, Ryan Opera Center Board, Guild Board, Chapters' Executive Board, and Lyric Young Professionals Board. 
  • Utilize Tessitura, our Customer Relationships Management System (CRM), for data entry assignments.
  • Assist with the organization of invitees’ responses.
  • Perform telephone calling to confirm invitees’ attendance.
  • Assist with the day of execution for all events.
  • General filing, photocopying and answering phones as needed.
  • Assist with inventory of archived materials and files
  • Assist with print materials for all events.
  • Other assistance as needed.

 

KNOWLEDGE AND SKILLS: 

  • Pursuing a degree in the Arts or Arts Administration, Business, Marketing, Management, or related field. 
  • Computer literacy is required, with an emphasis in Word, Excel, and the Windows environment.
  • Must be 21 or older to apply as there are many events with alcohol served. 
  • Excellent organizational skills and a genuine passion for order.
  • Must be detail oriented and be able to handle multiple tasks proficiently.
  • Excellent oral and written communication skills are a must.

 

WORK CONDITIONS: 

  • Sitting for extended periods. 
  • Ability to operate a computer and to handle other office equipment. Ability to occasionally oversee evening or weekend functions, deployments, or performances. 
  • Fast-paced and demanding environment. 
  • Ability to lift 30 pounds. 

 

COMPENSATION:

Job Classification: Part-Time, Non-Exempt Intern

Hourly Rate: $16.20 + Weekly $30 Travel Stipend
