Assistant Project Manager

Position Title: Assistant Project Manager

Job Summary: The Assistant Project Manager (APM) assists project managers in the planning and coordination of projects, takes on administrative duties, and independently manages some project elements. A successful APM performs any tasks assigned by the project manager in an efficient and timely manner. An outstanding APM maintains oversight of all project activities, identify any issues, and ensures these are resolved promptly. This position requires extremely high organizational skills, and the ability to effectively multitask and change directions quickly.

In Office Duties/Responsibilities:

  • Attends kickoff meetings when new projects are handed to the project manager.
  • Inputs and maintains accurate project dates and other pertinent information to the project into the company’s ERP system.
    • Fills out material schedule per architectural drawings.
    • Completes and maintains “GC schedule” to ensure off site contractors are up to date on accurate project timelines.
    •  Gathers LEED, FSC, and Product Data information for each project as well as GC’s preferred document control.
  • Creates new projects on PlanGrid.
    • Adds appropriate team members to each project.
    • Uploads current drawings per PMs request to appropriate place.
  • Requests and follows through with sample orders from the shop and any outside vendor.
    • Keeps received samples organized in PM sample cabinet.
  • Creates sample submittals, and RFIs through company ERP system.
  • Keeps track of material orders and deliveries for each job.
  • Reads architectural drawings and compares shop drawings for accuracy.
  • Creates BOMs to be reviewed by PM for purchasing.
  • Creates Change Quotes for ASIs/Addendums throughout the project.
  • Reviews take-offs with purchasing prior to meetings to ensure accurate material quantities.
    • Collaborates with purchasing to buydown material by researching vendors and prices.
  • Takes stored material photos for all divisions (i.e., Millwork, Metal, and Granite) for onsite GC.
  • Reviews overall job cost vs budget including outstanding POs to ensure the job is within/under budget.
  • Creates Work bills for misc. shop work.
  • Creates load lists for shipping material to jobsite to be reviewed by PM.
  • Collaborates with install to set up jobsite deliveries. 
  • Understands lead times for detailing and production as well as install durations.
  • Checks Accounting software for outstanding POs.
  • Gathers all closeout documents at the end of the job to be submitted to GC.
  • Other duties as assigned. 

Job Site Duties/Responsibilities:

  • Attends GC Meetings to ensure accurate job information.
  • Walks jobsite with PMs to get a complete understanding of the project.
    • Assists with Field Measuring as needed.
  • Make small deliveries to the jobsite as needed.

Education and Experience:

  • High School Diploma or GED, required.
  • Bachelor’s degree in construction management or related field, preferred. 
  • Experience working in an ERP is highly desirable. 

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 50 pounds at times.
