Constituent Services Coordinator /School Board Administrative Assistant

The School Board Member’s Office for District 9 is seeking a coordinator to manage constituent services and outreach. The ideal candidate has strong interpersonal skills, a background in relationship building, and is highly detail-oriented.

Responsibilities Include:

  • Routing and responding to constituent concerns through phone calls and office email
  • Generating and keeping records of referrals to address internal and external needs
  • Managing relationships, appointments, and strategy for Citizen Participation Groups, Education Advisory Councils, community coalitions, and Community-Based Organizations
  • Use office interactions with the community to gather data on constituent trends to report to the office weekly
  • Ensuring the upkeep and staffing of outreach office locations in District 9
  • Actively building relationships between the office, CPG appointees, community leaders (EACs, YACs, Non profits)  and constituents through scheduled call time.
  • Managing office mail and correspondence
  • Maintaining a comprehensive database of community members
  • Writing speeches and talking points when related to constituent services and events 
  • Coordinating office presence at events throughout the community 
  • Representing the Board Member at meetings with staff and community stakeholders
  • Managing the Relational Organizing team composed of 5 to 10 high school/college students to keep stakeholders and community members informed and engaged with the District 9 office. 
  • Plan and organize seasonal community outreach initiatives and forums (Back to School Drive, Thanksgiving Drive, Toy Drive, and Listening Campaigns)

Qualifications

  • Experience working in fast-paced environment with strong multi-tasking and time management skills
  • Proficient in G Suite and Microsoft Office
  • Optional experiences: Website development (Wix, Wordpress, etc), Airtable, project-management software, Zapier, Calendly

 

Start Date: June 24th 2024 or as soon as possible thereafter

Location: Offices in Homestead and Downtown Miami; events and meetings throughout Miami-Dade County; some remote work 

Type of position: Full-Time, Year-Round; Reports to Board Member’s Chief of Staff

Salary: $48,000-$53,000
