Registrar Office Student Assistant - Fall 2024 (Summer 2024 availability) - Work Study or Regular Pay

Position Summary

Employees in this position perform basic clerical tasks such as: customer service - in person, phone and email communication, preparing, processing and verifying official college records, and understanding university policies. Duties and requirements include those listed below and others as assigned.

Hours per week during Fall/Spring: 10-20 hours per week. Available hours are Monday-Friday, 7:45 am-4:30 pm. 

Hours per week during Summer/Winter (potential opportunity): Up to 40 hours per week (with flexibility). Available hours are Monday-Friday, 7:45 am-4:30 pm. 

Tasks

Integrative and Applied Learning (30%)

o   Communicate correct information regarding various university policies

o   Assist in transcript processing

o   Collect and route office forms

o   Process enrollment verification requests

o   Imaging, scanning office documents, linking and routing office documents to proper queues

Intellectual and Practical Skills (30%)

o   Answering the phone

o   In-person customer service requests

o   Process and deliver mail

o   Direct callers to appropriate locations on university website

o   Filing/document retention

o   Archiving documents 

Personal and Social Responsibility (20%)

o   Follow Confidentiality Laws (FERPA)

o   Communicate with students regarding transcript orders

o   Assist in monitoring the Registrar’s Office emails

Knowledge of Human Cultures and the Physical and Natural World (20%)

o   First point of contact as students and guests enter the Registrar’s Office

o   Students in this position will exhibit the ability to effectively engage with individuals with diverse backgrounds and perspectives

Minimum Qualifications

o   Must be in good academic standing (minimum 2.00 cumulative GPA)

o   Must submit a resume with application and document answering additional questions

o   Must pass a pre-employment criminal background check

o   Must be a registered UW-Whitewater student

Preferred Skills & Qualifications

o Preferred 2.80 cumulative GPA or higher

o Preferred minimum availability of 8 hours

o   Effective oral and written communication skills

o   Excellent customer service skills

o   Attention to detail

o   Microsoft Office suite, including Outlook and Word experience

o Ability to work Summer and/or Winterim semesters and Saturday Commencement Ceremonies (2 Saturdays per year)
